How do I find a bookkeeper who already knows AppFolio?
By the Propfina team · Published · Updated
Look in AppFolio’s Stack marketplace for accounting partners, then a specialist firm or a job board that already requires AppFolio. Hire only after they walk last month’s three-way rec on a screen share. A QuickBooks bookkeeper who has seen the tenant portal still has to learn this workflow.
This is the hunt for a 50-to-300-door office on AppFolio, often Core, still called Basic, that already exports the general ledger, owner ledgers, and the trust-account bank statement, and needs a person who already closes that software.
What you are actually hunting for
The job is AppFolio property books: rent batches that match the bank, vendor bills on the right door, security deposits as a liability, management fees moved to operating, owner draws from that owner’s available balance, a monthly three-way trust rec, and owner statements from those ledgers.
How to do bookkeeping for a small property management company is that cycle. AppFolio already holds the owner and tenant ledgers and the rec. On its own books, that rec works. AppFolio (June 16, 2026) calls the monthly job a Triple Tie Out of owners, banks, and the general ledger, rec’d monthly. A hire who only knows QuickBooks will often book a rent deposit as company income, which is how the trust rec goes short.
“Already knows AppFolio” means they can do that close without you teaching the clicks. On r/appfolio in October 2026, an office in northern Los Angeles wrote that the hard part is finding bookkeeping and AppFolio together. One OnlineJobs.ph post, still up 2026-11-03 and updated 2026-08-28, said please do not apply without AppFolio experience, and required AppFolio Basic with no API.
Should I hire an offshore bookkeeper who knows AppFolio? is the hire question. This page is where to look, and how to tell they already know it.
Where offices actually look
AppFolio’s own door is Stack. Solution Partners there assist with bookkeeping and financial reporting. AppFolio writes, read 2026-11-03, that those firms are independent, not employed by AppFolio, and that AppFolio does not guarantee the work. Evaluate each one on your books.
The marketplace accounting list, read 2026-11-03, includes OJO, APM Help, and REA. Proper AI’s own site, read 2026-11-03, is built for about 250 doors and up. A 50-to-150-door office will usually land on OJO, APM Help, REA, or a person.
| Place | What you get | First check |
|---|---|---|
| AppFolio Stack | Independent accounting partners AppFolio lists | They still walk your rec. The listing is not a guarantee |
| OJO | Official AppFolio partner. Logs into your database. Bank read-only | $34/hr, $45 cleanup, $300/mo min, 50-plus units, read 2026-11-03 |
| APM Help | Stack partner. Trust desk inside your database | About $3,900/mo at 300 doors, dated September 1, 2026. Ask the minimum for your doors |
| REA | Stack partner. Accountant access inside your instance | From $499/mo smaller portfolios, dated October 21, 2026. Get the number on your database |
| Job board or Reddit | One person who already closes AppFolio | Screen share before a login. Listings are wages, not a quote |
| US in-house clerk | Office hours, a W-2 | BLS median $24.36/hr, May 2025 |
| Close it yourself | The rec already lives in AppFolio | Cash cost is $0. The cost is your afternoon |
OJO wins a printed hourly rate and a login that cannot move money. APM Help wins daily recs and a per-door example at a few hundred doors. REA wins Stack-partner access inside your instance. The job-board hire wins a lower wage if they already close AppFolio. The US clerk wins a person in the room. AppFolio still wins owner ledgers, the in-app rec, and canned owner statements.
On X in November 2023, Wolfgang Croskey wrote that OJO handles a lot of their AppFolio work and called it great value. Threads on r/AccountingPH discuss OJO as a Philippine hiring shop. Ask who sits on your books, and in which hours.
How to screen them before they get a login
Do not hire from a resume that lists AppFolio. Put last month on a screen share and watch the clicks.
Send this packet first: last month’s trust-account bank statement, the general ledger and owner-ledger export as of that statement date, and two canned owner statements. Ask them to walk:
- How they tie the adjusted bank, the trust ledger, and the sum of owner and tenant ledgers. How to do a three-way trust account reconciliation is that packet.
- What they do when one owner ledger is negative and cash is still in the trust account.
- How they get a packet into QuickBooks when the plan has no API. How to export AppFolio data to QuickBooks is the export path. Does AppFolio Basic have an API? is the plan question.
If they cannot do those three without a script, they do not know AppFolio for this job. How to give your outside bookkeeper access to AppFolio is the login, after they pass.
On BiggerPockets, a CPA asked an owner who wanted an overseas bookkeeper to type property-manager PDFs: if you are not a bookkeeper yourself, how will you know the work is right. Another reply said try the AppFolio general-ledger export first, because you still have to catch mistakes. You still review the rec.
What the listings actually pay
These figures are from job posts and vendor pages, read 2026-11-03, plus the BLS wage. They are not a quote for your doors.
| Source | Rate, as published | What they asked for |
|---|---|---|
| OnlineJobs.ph, updated 2026-08-28 | $4 an hour, 40 a week | AppFolio required, trust rec, owner statements, Basic, no API |
| OnlineJobs.ph, updated 2026-05-05 | $6 to $10 an hour, 20 to 40 a week | Hands-on AppFolio, owner reports, month-end |
| OJO, read 2026-11-03 | $34 an hour, $45 cleanup, $300 a month minimum | US-hours AppFolio partner, own login, bank read-only |
| APM Help, September 1, 2026 | About $3,900 a month at 300 doors | Their example for trust bookkeeping on AppFolio |
| REA, October 21, 2026 | From $499 a month smaller portfolios | Accountant access inside AppFolio. Stack partner |
| BLS, May 2025 | $24.36 an hour median | Bookkeeping, accounting, and auditing clerks |
A 40-hour week at $4 is about $690 a month. Those posts are listings. How much a property management bookkeeper costs is the wage math. On BiggerPockets in November 2025, Chris Seveney wrote that overseas bookkeeping results have not been great, and you get what you pay for.
Some offices keep AppFolio as the books and hire only the export-to-QuickBooks close. We make Propfina, which does this, so weigh that suggestion accordingly.
Access, and who still signs
Give them their own AppFolio user. AppFolio’s staffing page, read 2026-11-03, lets you create custom user roles and limit access. Keep payment release in the office. LedgerBPO, read 2026-11-03, asks for accounting access without disbursement rights. REA says you create and administer the user. There is no vendor backdoor.
On r/PropertyManagement in July 2024, a comment on a remote AppFolio bookkeeper post asked why anyone would give an overseas person owner routing numbers and a piece of mail. A US employee still gets a limited role. The PII stays in your office.
Trust accounting is regulated and the rules differ by state. California’s Department of Real Estate wrote on October 6, 2026 that even if you hire a bookkeeper, the broker or designated officer is still responsible for complete records. Colorado expects monthly three-way recs for property-management trust accounts, per its broker financial audit process, read 2026-11-03. This is not legal advice. Check your own state’s commission and your CPA.
How to tell this week
You have a real hire when they walk last month’s three-way rec on a screen share, their AppFolio role cannot release payments or change bank accounts, and the rec, the owner-ledger export, and two owner statements show the same ending balances.
Skip the candidate when they cannot walk the rec, they want a bank login that can move money, or the trust account has not tied out in months. Cleanup is a project. Keep leasing and work orders off the bookkeeping seat. A Stack firm costs more per hour and includes a second pair of eyes. AppFolio bookkeeping service for small property managers is that firm buy.
Pull last month’s trust-account bank statement, the general ledger, the owner-ledger export, and two canned owner statements. Spend an afternoon on those four files. Name what is still open. That list is what you send when you ask a Stack partner, a firm, or a hire to walk the rec.
Frequently asked questions
What does it mean that a bookkeeper already knows AppFolio?
They can close last month in AppFolio without a script: post rent batches, rec the trust account three ways, hold a negative owner ledger, and send owner statements from those ledgers. A QuickBooks bookkeeper who has seen the tenant portal still has to learn that workflow. Ask them to walk the rec on a screen share.
Should I start with AppFolio Stack or post a job?
Start with Stack. AppFolio lists independent accounting partners there, including OJO, APM Help, and REA, and says it does not employ or guarantee them. A job board is the path when you want one person. Either way, they walk last month's three-way rec before they get a login.
Can they work if we are on AppFolio Core with no API?
Yes. Core has no API, so nothing pulls the general ledger on a schedule. They work inside AppFolio with their own login, or they download the reports you already export. One job post updated 2026-08-28 required AppFolio Basic, no API, and a hand move into QuickBooks.
Should a new AppFolio bookkeeper get a bank login that can move money?
No. Give them their own AppFolio user with a limited role. Keep payment release and bank changes in the office. OJO says bank access is read-only. LedgerBPO asks for accounting access without disbursement rights. Check that setup with your CPA or counsel.
Do I still have to review the trust rec after I hire them?
Yes. They post and rec. The license stays on you. California's Department of Real Estate wrote on October 6, 2026 that even if you hire a bookkeeper, the broker or designated officer is still responsible for complete records. Pull the rec, the owner-ledger export, and two owner statements. This is not legal advice.
