How to export AppFolio data to QuickBooks?

AppFolio has no native QuickBooks sync. Export the general ledger, owner ledgers and deposit reports as of the statement date, then post a summary journal in QuickBooks Online or hand the CPA the files. Do not retype every rent receipt as income.

This is the month-end path for a small property-management office on AppFolio, often Core, still called Basic, that already exports those reports and keeps QuickBooks Online because the CPA already works there.

The bank shows one number. AppFolio and QuickBooks show several. An export is a report you download. It is not a live sync.

AppFolio (June 16, 2026) calls the monthly job a Triple Tie Out of owners, banks and the general ledger. That job lives in AppFolio. Does AppFolio Basic have an API? is the plan question. Core has no API. You still export.

There is no AppFolio QuickBooks button

AppFolio is the property-management ledger. QuickBooks Online is the file most CPAs already open.

AppFolio’s BK Management customer story is that fact in AppFolio’s own words. Accounting Manager April Schuette said they used QuickBooks for corporate accounting and AppFolio for property-management accounting, “and there was just no integration whatsoever.” They ran one set of reports out of each system and tried to marry them.

AppFolio’s pricing page, read 2026-10-07, lists Core, Plus and Max. Core has no API line. Plus lists a read-only API. Max lists a read/write API. A vendor that asks for a Client ID has nothing to attach to on Core.

On r/Bookkeeping in July 2024, a bookkeeper looking at AppFolio plus QuickBooks Online wrote that a native integration is not possible. One office said they enter invoices and rent twice. Dual full books is the failure mode.

Export the packet from AppFolio

Do this in AppFolio before you touch QuickBooks. Pick the bank-statement date first. Run every report to that date. The usual miss is a statement through the 30th and an owner-ledger export on the 2nd.

  1. Open Reports.
  2. Run the general ledger for the statement period.
  3. Run owner ledger balances as of that same ending date, not as of today.
  4. Run tenant or security-deposit balances as of that same date.
  5. Run the deposit or receipts report for the batches that should equal the bank.
  6. Export each report. AppFolio’s Report Builder write-up (November 9, 2023) says a custom report can be exported or saved. Save the layout so next month is the same columns.

There is no single “export everything” button. Core can still download the reports. An API key is not required. If the CPA only needs a packet, stop here and email the files with the bank statement. If they want numbers inside QuickBooks, keep going. You are building a summary of the month, not a tenant-by-tenant clone.

Post a summary journal in QuickBooks Online

Map AppFolio account names to QuickBooks accounts before you import. Add any missing accounts first. Intuit’s journal-import help (updated 2026-08-04) rejects a line whose account does not exist. Turn off account numbers for the import, then turn them back on. Subaccounts have to be written as Parent account:Sub Account, or the line comes back as Line Account Invalid.

Build a CSV with Journal No, Journal Date, Account Name, Journal/Description, Debits, Credits. One journal number per balanced entry. Use the statement date.

Example shape for one month, not a real office. Receipts journal: debit Trust bank $52,400, credit Owner funds $44,800, credit Security deposits $4,200, credit Management fee income $3,400. Disbursements journal: debit Owner funds $38,100, credit Trust bank $38,100. Receipts have to equal the deposit batches. Disbursements have to equal owner draws and vendor checks that left trust. The earned management fee is the only income line.

Then import:

  1. Go to Settings, then Import Data.
  2. Select Journal Entries.
  3. Browse to the CSV.
  4. Map each CSV header to the QuickBooks field. Select Next.
  5. Fix any error, then Start import.
  6. Search for that journal number and read it against the AppFolio totals.

Do not upload the AppFolio general ledger as a bank file. Intuit’s bank-upload help (updated 2026-08-24) wants Date, Description, Amount, or Date, Description, Credit, Debit. A general ledger is not that file. Use Journal Entries.

If the trust bank is connected, go to All apps, Accounting, Bank transactions and Match the downloaded lumps to the journal you posted. Intuit’s categorize help (updated 2026-08-24) treats Post as a new ledger entry. Categorize on a rent batch that already sits in the journal records the cash twice.

A read-only API on Plus can pull reports. It still does not post into QuickBooks. Max adds write access back into AppFolio. Neither plan is a QuickBooks button. Ask your account manager which plan is on the invoice before you buy a connector.

Close totals are not a rec. Compare the QuickBooks trust bank and owner-funds liability to the AppFolio ledgers on that same date.

What the software already does

AppFolio wins the property books. It keeps owner and tenant ledgers in the same system as the bank rec. On its own books, that rec works. QuickBooks Online wins the two-way rec and the file your CPA already opens.

Someone still has to pick the cutoff, map the accounts, and refuse to book rent as income. Most small offices that keep both systems use AppFolio for doors, owners and trust, and keep QuickBooks for payroll, the operating account, and the CPA.

How to tell this month is closed

The AppFolio general ledger, owner ledgers and deposit report all use the bank-statement date. The QuickBooks summary journals equal those totals to the cent. The trust bank feed is Matched, not Posted a second time. Rent did not land in income. Management fee is the income line. No owner ledger is negative.

Pull last month’s general ledger and owner-ledger exports, the deposit or receipts report, and the trust-account bank statement. Start with those four files. They already exist.

What if QuickBooks and AppFolio still do not match after I import?

Pick one system of record for property-level detail. AppFolio wins owner ledgers and the three-way rec. QuickBooks wins the CPA's corporate file. Tie both to the same bank-statement date. If you Categorize a rent deposit that already sat in a journal, you posted the cash twice. Match, do not Post.
