How to reconcile a property management trust account in QuickBooks Online?

Reconcile the trust bank account in QuickBooks Online until the Difference is $0.00, then prove the trust liability and the sum of every owner and tenant ledger equal that same balance on the statement date. QuickBooks Online’s native rec is two-way. The third number lives in the ledgers.

This is the click path for a small property-management office on AppFolio, Rentvine or Buildium that also keeps the trust bank in QuickBooks Online, because the CPA already works there. Pull last month’s trust statement, the owner and tenant ledger exports, and the trust register.

A two-way rec matches the first two rows. The rest is whose money it is. How to do a three-way trust account reconciliation is that job. This page is the QuickBooks Online path.

Keep the trust account separate

Open the trust account at the bank first, in the name your state requires. Add it in QuickBooks as its own bank account, with no operating activity in it. Intuit’s chart-of-accounts help (updated 2026-08-05) is All apps, Accounting, Chart of accounts, New account, type Bank, detail Checking. Enter the opening balance from a statement. Adding older cleared items on top of that opening balance counts the cash twice.

Create a liability for owner funds, Other Current Liabilities. Give security deposits their own liability. Rent in raises the owner’s balance. A plumber paid for that owner lowers it. Your management fee is the only line that should hit income, after you move it to operating.

Texas treats rent and security deposits as trust money and bars putting them in a personal or operating account (22 Tex. Admin. Code § 535.146, read 2026-10-07). California Commissioner’s Regulation 2835 lets a broker keep up to $200 of firm money in the trust account for bank charges. Mixed broker-and-owner funds that cannot reasonably be split have to leave within 25 days of deposit. Other states cap that buffer differently. Check yours.

Run the two-way rec

Do this after every trust transaction for the statement period is in the register. Have the statement open. Pick the trust bank, not operating.

  1. Go to All apps, Accounting, Reconcile.
  2. From Account, select the trust bank.
  3. Confirm Last statement ending date. This statement should start the next day.
  4. Enter the Ending balance and Ending date from the statement.
  5. Select Start reconciling.
  6. Tick each register line that appears on the statement. Leave outstanding owner-draw checks and deposits in transit unticked.
  7. Continue until Difference is $0.00. Select Finish now, then Done.

Intuit’s reconcile help (updated 2026-08-05) is this job. If the bank is connected, some lines already show a check from the feed. Still compare dates and amounts. A connected feed is not a rec.

On Bank transactions, take Match when the downloaded lump is a deposit or check you already recorded. Intuit’s categorize help (updated 2026-08-24) treats Post or Add as a new ledger entry. Categorize on a rent batch already in the register records the cash twice.

Do not select Add adjusting entry to force a close. Intuit’s adjusting-entry help (updated 2026-08-05) posts an expense if the difference is negative, or income if it is positive. On a trust account that plug is someone else’s money with no name on it. Find the fee, the NSF, or the missing check. Then rec to $0.00.

If you ticked the wrong line, open View register on the trust bank, select the line, and click the R until the box is blank. Intuit’s undo help (updated 2026-08-24) says that changes the next rec’s beginning balance. Download History by account before you undo a whole period.

Prove the third number

Run a Balance Sheet in QuickBooks as of the statement date. The trust bank should equal owner-funds liability plus security-deposit liability, plus any earned management fee still sitting in trust. If those numbers disagree, stop. You are not ready for owner ledgers.

Export every owner balance and every tenant security-deposit balance from the property-management software as of that same cutoff. Add them. That total has to equal the trust liability. The packet is on the three-way rec page.

Classes can split the liability by owner on QuickBooks Online Plus, which allows 40 combined classes and locations. Simple Start and Essentials have none. Advanced removes the cap (Intuit usage limits, updated 2026-08-05). A class has no floor, so an owner can go negative and the two-way rec still finishes.

Do not send owner draws until the three numbers agree and no owner ledger is negative. On r/PropertyManagement in September 2025, an office under a real-estate-commission audit said the trust account had never reconciled to the bank, and several properties showed negative balances they could not verify. Colorado’s Division of Real Estate lists negative ledger balances among common violations and asks brokers for monthly three-way recs, journals, ledgers, and reconciled bank statements (audit process, read 2026-10-07).

When the lists still disagree

Work bank-to-register first, then register-to-ledgers.

Close totals are not a rec. The extra step is comparing the bank-and-book rec to the list of owner and tenant balances on that same date.

What the software already does

AppFolio, Rentvine and Buildium win the built-in trust rec. They keep owner and tenant ledgers in the same system as the bank rec. On their own books, that rec works. QuickBooks Online wins the two-way rec your CPA already knows.

AppFolio (June 16, 2026) calls the monthly job a Triple Tie Out of owners, banks, and the general ledger. Rentvine (read 2026-10-07) describes a 3-way tie of bank statement, trust ledger, and property ledgers. Buildium (December 8, 2025) writes the same three totals.

Someone still has to pick the cutoff, tick the outstanding items, and refuse Add adjusting entry. Saving a rec that is $40 off because it will catch up is how last year’s gap is still this year’s gap.

Rules vary by state. Colorado expects monthly three-way recs for property-management trust accounts. California Commissioner’s Regulation 2831.2 requires a monthly reconciliation of beneficiary records to the control record in months with activity. Difference is $0.00 on the trust bank rec. The Balance Sheet trust bank equals owner-funds liability plus security deposits as of the statement date. That liability equals the sum of the owner and tenant ledger exports. No owner ledger is negative. Outstanding checks are a real list, not a plug. Last month’s difference was not rolled forward.

Pull last month’s trust-account bank statement, the owner-ledger and tenant-deposit exports, and the trust register in QuickBooks. Start with those three files. They already exist.

Should I Categorize a rent deposit on the trust bank feed as income?

If the deposit already sits in the register, take Match. Intuit's categorize help, updated 2026-08-24, treats Post as a new entry. Match merges the two.

Can I finish the rec with an adjusting entry if a few dollars of bank fees are left?

Do not. Intuit's adjusting-entry help, updated 2026-08-05, will force the rec closed by posting an expense or an income line. On a trust account that plug hides a fee, an NSF, or a missing owner-draw check. Post the real bank fee to the broker's own buffer, or have the bank debit operating, then rec to $0.00.

Do classes or subaccounts in QuickBooks Online replace owner ledgers?

No. Classes and liability subaccounts can split a balance by owner. They have no floor, so an owner can go negative with no warning. QuickBooks Online Plus allows 40 combined classes and locations.
