AppFolio bookkeeping service for small property managers

By the Propfina team · Published · Updated

An AppFolio bookkeeping service for a small property manager is a person or firm that already closes AppFolio: posts rent, recs the trust account three ways, and sends owner statements from those ledgers. AppFolio already holds the books. The service is the person who runs them on time.

This is the buy for an office of about 50 to 300 doors on AppFolio, often Core, still called Basic, that already exports the general ledger, owner ledgers and the trust-account bank statement, and is weighing a firm against closing in-house.

What you are actually buying

On a small AppFolio book the monthly work is posting rent so it matches the bank, coding vendor bills to the right door, holding security deposits as a liability, moving management fees to operating, and taking owner draws only from that owner’s available balance. The close is a three-way trust rec and owner statements from those ledgers.

How to do bookkeeping for a small property management company is that cycle. AppFolio already holds the owner and tenant ledgers and the rec. On its own books, that rec works. AppFolio (June 16, 2026) calls the monthly job a Triple Tie Out of owners, banks and the general ledger. A QuickBooks-only bookkeeper often posts rent as company income, and the trust rec goes short.

The service logs into your AppFolio. Core has no API, so a connector that wants a Client ID has nothing to attach to. Does AppFolio Basic have an API? is that plan question. AppFolio Stack lists independent accounting firms AppFolio does not employ.

AppFolio’s staffing page, read 2026-11-02, lets you create custom user roles and limit access. Give the service their own login. Keep payment release in the office. OJO says bank access is read-only, read 2026-11-02. You still review the rec. The firm posts. The license stays on you.

What it costs a 50-to-300-door office

Prices below are from each vendor’s own page, read 2026-11-02, unless an article carries an earlier date. They are not a quote for your doors. Best property management bookkeeping services is the roundup.

OJO $34/hr ongoing, $45 cleanup, $300/mo minimum Inside your AppFolio login. Bank read-only 50-plus units

US clerk wage BLS median $24.36/hr, May 2025 In-office employee About $4,220 a month before payroll tax

A 40-hour week at $4 is about $690 a month. A 20-hour week at $6 to $10 is about $520 to $870. Those are listings. How much a property management bookkeeper costs is the wage math.

OJO wins a printed hourly rate and a 50-unit floor. APM Help wins a per-door example at a few hundred doors. REA wins Stack-partner access and a published start for smaller books. PM Bookkeeper wins a US person and statements by the 10th.

What “small” changes on AppFolio

AppFolio’s small-portfolio write-up (December 5, 2025) is for 50 to 250 units, often one person, with built-in accounting so the doors do not need a second QuickBooks file. Core includes Property Accounting and Reports. The rec lives there.

Plus adds a read-only API and Accounting Performer for bill entry and financial close, per AppFolio’s pricing, read 2026-11-02. Max adds read/write. On Core you still export. How to export AppFolio data to QuickBooks is the path.

On r/appfolio in October 2026, an outsourced accounting firm wrote that Plus is usually overkill for a small residential book with standard owner statements. Core covers that book. A 45-door office on r/PropertyManagement in February 2026 wrote that the canned AppFolio statement was fine for maybe 3 of 12 owners, and the rest ate a weekend, 12-plus hours, in Excel. Send the canned statement from the rec.

OJO is built for 50-plus units. APM Help’s September 1, 2026 article says below a certain size the fee stops shrinking, because a 40-door company still needs its banks rec’d and its statements sent. Ask where the monthly minimum sits before you assume the $13-a-door example. One REA testimonial on their AppFolio page says, “I may be too small for them.”

When the service is the right buy

Office Buy the service? Why
They already close AppFolio and can walk a three-way rec on a screen share Yes You are buying hours, not a training program
50 to 300 doors, month-end is late because one person also leases Usually The rec and statements are a defined packet
On Core / Basic, no API, and the CPA still wants QuickBooks Usually They work from exports or inside AppFolio
You will not look at the rec No You still own the trust account
The candidate knows QuickBooks and used AppFolio once No The $4 post said do not apply without AppFolio
The trust account has not tied out in months Not at the monthly rate Price cleanup as a project, then the retainer

AppFolio still wins owner ledgers, the in-app rec and canned owner statements.

When a small office should keep looking

Keep last month in-house when the rec already ties and owners take the canned statement. Finish month-end from last month’s bank statement and the ledger exports. AppFolio wins this job on its own books.

Price cleanup as a project when the trust account has not tied out in months. APM Help and OJO split that work from the monthly retainer.

Open the rec yourself even after you pay. Pull the rec, the owner-ledger export and two owner statements. Confirm the ending balances match. Colorado expects a monthly three-way rec for property-management trust accounts (audit process, read 2026-11-02). Rules vary by state. This is not legal advice. Check your commission and CPA.

Keep leasing and work orders off the bookkeeping seat. On r/AccountingPH, OJO is discussed as a Philippine hiring shop. Ask who sits on your books, and in which hours. A US firm costs more per hour and includes a second pair of eyes.

How small offices actually close AppFolio

Close it yourself in AppFolio

Right answer when the doors already rec, owners take the canned statement, and you can finish from last month’s bank statement and the ledger exports. Cash cost is $0. The cost is your afternoon. How to do a three-way trust account reconciliation is the packet.

Hire the person who already closes AppFolio

Right answer when they walk last month’s rec on a screen share, you will review, and you give them a limited AppFolio role with no ability to move money. Should I hire an offshore bookkeeper who knows AppFolio? is that seat. One OnlineJobs.ph post, updated 2026-08-28, lists $4 an hour at 40 hours, AppFolio required, Basic, no API.

Hire a US AppFolio bookkeeping firm

Right answer when you want a bench, a published method, and US hours. OJO prints $34 an hour and a $300 floor. REA prints a $499 start. APM Help prints a 300-door example. Get the quote on your database, including who releases payments.

Keep AppFolio as the books, and close QuickBooks from the exports

Stay on Core. Run the general ledger, owner ledgers and deposit reports as of the statement date. Post a summary journal, or hand the files over. Some offices hire only that export-to-QuickBooks close. We make Propfina, which does this, so weigh that suggestion accordingly. Ask whether a tool writes back to AppFolio. It should not. Ask whether QuickBooks posting can be undone, and whether it works with no API.

How to tell this week

A small AppFolio office has a real bookkeeping service when they walk last month’s three-way rec on a screen share, the user they log in with cannot release payments unless you said so, and the rec, the owner-ledger export and two owner statements land on the same ending balances.

Print last month’s trust-account bank statement. Export the AppFolio general ledger and owner ledgers as of that statement date, plus two owner statements. Spend an afternoon on those files and write down what still does not tie. That list is what you send when you ask a firm or a hire for a number.

Frequently asked questions

How much does an AppFolio bookkeeping service cost for a small property manager?

OJO prints $34 an hour with a $300 monthly minimum for 50-plus units, read 2026-11-02. REA starts at $499 a month for smaller portfolios, dated October 21, 2026. APM Help's September 1, 2026 example is about $3,900 a month at 300 doors. PM Bookkeeper does not print a list price. Get a number on your database.

Does AppFolio already do the bookkeeping a service would do?

AppFolio already holds owner ledgers, the three-way rec and owner statements. Core includes Property Accounting and Reports. The service is the person who posts, recs and sends those statements on time. On its own books, AppFolio's rec works. The firm does not replace AppFolio.

Can a bookkeeping service work if we are on AppFolio Core with no API?

Yes. Core has no API, so nothing pulls the general ledger on a schedule. The service works inside AppFolio with their own login, or they download the reports you already export. One job post updated 2026-08-28 required AppFolio Basic, no API, and a hand move into QuickBooks.

Do I still have to review the trust rec if a service closes the month?

Yes. They post and rec. The license is still yours. Open the rec, the owner-ledger export and two canned statements and confirm the ending balances match. Colorado asks for a monthly three-way rec. Rules vary by state. This is not legal advice. Check your commission and your CPA.

Should I hire one AppFolio bookkeeper instead of a firm?

Hire the person if they already close AppFolio and can walk last month's three-way rec on a screen share. Job posts list $4 an hour at 40 hours, updated 2026-08-28, and $6 to $10 at 20 to 40 hours, updated 2026-05-05. A firm wins a bench and a published method. You still review either way.
