Should I hire an offshore bookkeeper who knows AppFolio?
By the Propfina team · Published · Updated
Yes, if they already close AppFolio: post rent, rec the trust account, and send owner statements without you teaching the clicks. No if you will train a generic QuickBooks bookkeeper on trust accounting, or if “knows AppFolio” means they have seen the tenant portal.
This is for a small property-management office of about 50 to 300 doors on AppFolio, often Core, still called Basic, that already exports the general ledger, owner ledgers and the trust-account bank statement, and is weighing an offshore hire against closing the month in-house.
What the hire actually does
The job is AppFolio property books, not generic QuickBooks: rent batches, vendor bills coded to the right door, security deposits as a liability, management fees moved to operating, owner draws from that owner’s available balance, a monthly three-way trust rec, and owner statements from those same ledgers.
How to do bookkeeping for a small property management company is that cycle. AppFolio already holds the owner and tenant ledgers and the rec. A bookkeeper who only knows QuickBooks will often book a rent deposit as company income, which is how the trust rec goes short.
One OnlineJobs.ph post updated 2026-08-28 asked for all of that plus a hand move into QuickBooks, “no API option; we have Appfolio Basic.” Does AppFolio Basic have an API? is that plan question. Core still exports reports. The hire works in AppFolio with their own login, or they download the same files you already run.
AppFolio wins the in-app books. On its own ledgers, the rec works. AppFolio (June 16, 2026) calls the monthly job a Triple Tie Out of owners, banks and the general ledger. That job lives in AppFolio. It does not require an API, and it does not post itself into QuickBooks.
What it costs
These figures are from job posts and vendor pages, read 2026-10-12, plus the BLS wage. They are not a quote for your doors.
| Source | Rate, as published | Hours on the posting | What they asked for |
|---|---|---|---|
| OnlineJobs.ph, updated 2026-08-28 | $4 an hour | 40 a week | AppFolio required, trust rec, owner statements, Basic, no API |
| OnlineJobs.ph, updated 2026-05-05 | $6 to $10 an hour | 20 to 40 a week | Hands-on AppFolio, owner reports, month-end |
| OnlineJobs.ph, updated 2026-02-18 | $5.50 an hour | Not listed | Cleanup so AppFolio, Guesty, bank and QuickBooks tie out |
| OJO Bookkeeping, read 2026-10-12 | $34 an hour, $45 cleanup, $300 a month minimum | Hours the books need | US-hours AppFolio partner, own login, bank read-only |
| BLS, May 2025 | $24.36 an hour median | Typical US employee | Bookkeeping, accounting and auditing clerks |
A 40-hour week at $4 an hour is about $690 a month. A 20-hour week at $6 to $10 is about $520 to $870 a month. Those posts are listings, not a market survey. The monthly bill is hours times rate. Load the same seat with payables, tenant calls and work orders and you pay the full-time number even if month-end is only part of the week. BLS’s $24.36 is the in-office US clerk, not the remote AppFolio specialist.
What “knows AppFolio” has to mean
Job posts treat AppFolio experience as a hard filter because training eats the hourly savings. The $4 post said “please do not apply if you do not have AppFolio experience.” Ask the candidate to share a screen and walk last month’s close:
- How they tie the adjusted bank, the trust ledger, and the sum of owner and tenant ledgers. How to do a three-way trust account reconciliation is that packet.
- What they do when one owner ledger is negative and cash is still in the trust account.
- How they get a packet into QuickBooks when the plan has no API. How to export AppFolio data to QuickBooks is the export path.
If they cannot do those three without a script, they do not know AppFolio for this job.
On BiggerPockets, a CPA asked an owner who wanted an overseas bookkeeper to type property-manager PDFs: if you are not a bookkeeper yourself, how will you know the work is right. Another reply said try the AppFolio general-ledger export first, because you still have to catch mistakes. You still review the rec. The hire does not take your name off a state exam.
Give them their own AppFolio login. AppFolio’s staffing page says you can create custom user roles and limit access to what the role needs. Do not hand over admin, payment release, or a bank login that can move money. OJO’s AppFolio page, read 2026-10-12, says bank access for their bookkeepers is read-only.
Trust accounting is regulated and the rules differ by state. Colorado expects a monthly three-way rec for property-management trust accounts (audit process, read 2026-10-12). This is not legal advice. Check your own state’s commission and your CPA.
When the hire is worth it
| Office | Hire them? | Why |
|---|---|---|
| They already close AppFolio and can walk a three-way rec on a screen share | Yes | You are buying hours, not a training program |
| 50 to 300 doors, month-end is late because one person also leases and takes vendor calls | Usually | The rec and statements are a defined packet |
| On Core / Basic, no API, and the CPA still wants QuickBooks | Usually | They work from exports or inside AppFolio |
| You will not look at the rec | No | You still own the trust account |
| The candidate knows QuickBooks and used AppFolio once | No | The $4 post said do not apply without AppFolio |
AppFolio still wins owner ledgers, the in-app rec and canned owner statements.
When it is not
Skip the hire, or keep looking, when:
-
You need someone to invent a rec you do not have. If the trust account has not tied out in months, that is cleanup, not a $4 data-entry seat. The $5.50 post was a prior-year cleanup. Price that as a project.
-
You will not review. A cheap hourly rate is a bad deal if the first wrong owner draw is someone else’s rent. Hold negative owner ledgers. Sign the rec yourself or have your CPA look at it.
-
You are buying 40 hours because the posting said full time. Month-end for 50 to 300 doors is not a 40-hour bookkeeping job unless you also dump leasing, work orders and tenant chat onto the same person. Those are different jobs. Keep the hire on the books.
-
You need US hours and a bench. A solo remote hire gets sick, quits, or goes quiet. A US AppFolio bookkeeping firm costs more per hour and includes a second pair of eyes. That is a real row they win.
Four ways offices actually close AppFolio
1. Hire the person who already closes AppFolio
Right answer when they can close last month on a screen share, you will review the rec, and you give them a limited AppFolio role with no ability to move money. Pay for the hours the close takes. Keep work orders and leasing off that seat.
2. Close it yourself in AppFolio
Right answer when the doors already rec in AppFolio, owners take the canned statement, and you can finish month-end from last month’s bank statement and the ledger exports. AppFolio wins this job on its own books. You still pick the cutoff and refuse a negative draw.
3. Hire a US AppFolio bookkeeping firm
OJO publishes $34 an hour, $45 for cleanup, a $300 monthly minimum, and read-only bank access, read 2026-10-12. They work inside your AppFolio account. They win US hours, a published rate, and a bench. Other firms exist; many do not print a price.
4. Keep AppFolio as the books, and close QuickBooks from the exports
Stay on Core. Run the general ledger, owner ledgers and deposit reports as of the statement date. Post a summary journal, or hand the files over. Some offices hire that month-end out. We make Propfina, which does this, so weigh that suggestion accordingly. Ask whether a tool writes back to AppFolio (it should not), whether QuickBooks posting can be undone, and whether it still works with no API.
How to tell this week
You have a real hire when they walk last month’s three-way rec on a screen share, their AppFolio role cannot release payments or change bank accounts, and the rec, the owner-ledger export and two owner statements show the same ending balances.
Pull last month’s trust-account bank statement, the general ledger, the owner and tenant ledger exports, and the canned owner statements. Sit with those files for an afternoon. If you can name what is still open, you know whether you need hours, cleanup, or a different person.
Frequently asked questions
How much does an offshore AppFolio bookkeeper cost?
Job posts read 2026-10-12 list $4 an hour at 40 hours a week, $6 to $10 at 20 to 40 hours, and $5.50 for a mixed AppFolio and Guesty cleanup. A 40-hour week at $4 is about $690 a month. Those are listings, not a quote for your doors.
What does it mean that a bookkeeper knows AppFolio?
They can close last month in AppFolio without a script: post rent batches, rec the trust account three ways, hold a negative owner ledger, and send owner statements from those ledgers. A QuickBooks-only bookkeeper who has seen the tenant portal does not know this workflow. Ask them to walk the rec on a screen share.
Can an offshore bookkeeper work if we are on AppFolio Basic with no API?
Yes. Core, still called Basic, has no API, so nothing can pull the general ledger on a schedule. They work inside AppFolio with their own login, or they download the reports you already export. One job post updated 2026-08-28 required AppFolio Basic, no API, and a hand move into QuickBooks.
Should I give an offshore bookkeeper a bank login that can move money?
No. Give them their own AppFolio user with a limited role. AppFolio lets you restrict access by role. Keep payment release and bank changes in the office. One US AppFolio bookkeeping firm that prints a method, OJO, says bank access is read-only. Check that setup with your CPA or counsel.
Do I still have to review the trust rec if they close the month?
Yes. The hire posts and recs. You still own the trust account for the state exam. Open the rec, the owner-ledger export and two owner statements and confirm the ending balances match. Rules vary by state. Colorado expects a monthly three-way rec. This is not legal advice. Check your commission and your CPA.
