How much does a property management bookkeeper cost per month?
By the Propfina team · Published · Updated
A property-management bookkeeper who already closes AppFolio usually costs a few hundred dollars a month part-time offshore, about $690 to $1,740 a month at 40 hours and $4 to $10 an hour, or about $4,220 at the US clerk median. The monthly bill is hours times rate.
This is for a small property-management office of about 50 to 300 doors on AppFolio, Rentvine or Buildium, often Core, still called Basic, that already exports the general ledger, owner ledgers and the trust-account bank statement, and wants a monthly number before hiring.
What you are paying for
The job is property books, not generic QuickBooks: rent batches, vendor bills coded to the right door, security deposits as a liability, management fees moved to operating, owner draws from that owner’s available balance, a monthly three-way trust rec, and owner statements from those same ledgers.
How to do bookkeeping for a small property management company is that cycle. AppFolio, Rentvine and Buildium already hold the owner and tenant ledgers and the rec. A bookkeeper who only knows QuickBooks will often book a rent deposit as company income, which is how the trust rec goes short.
AppFolio wins the in-app books. On its own ledgers, the rec works. AppFolio (June 16, 2026) calls the monthly job a Triple Tie Out of owners, banks and the general ledger. That job lives in AppFolio. It does not require an API, and it does not post itself into QuickBooks.
Should I hire an offshore bookkeeper who knows AppFolio? is the hire question.
What the listings actually say
These figures are from job posts and vendor pages, read 2026-10-12, plus the BLS wage. They are not a quote for your doors.
| Source | Rate, as published | Hours on the posting | About per month | What they asked for |
|---|---|---|---|---|
| OnlineJobs.ph, updated 2026-08-28 | $4 an hour | 40 a week | About $690 | AppFolio required, trust rec, owner statements, Basic, no API |
| OnlineJobs.ph, updated 2026-05-05 | $6 to $10 an hour | 20 to 40 a week | About $520 to $1,740 | Hands-on AppFolio, owner reports, month-end |
| OnlineJobs.ph, updated 2026-02-18 | $5.50 an hour | Not listed | Project, not a retainer | Cleanup so AppFolio, Guesty, bank and QuickBooks tie out |
| OJO Bookkeeping, read 2026-10-12 | $34 an hour, $45 cleanup, $300 a month minimum | Hours the books need | $300 floor, then hours times $34 | US-hours AppFolio partner, own login, bank read-only |
| APM Help, September 1, 2026 | About $3,900 a month at 300 doors | Not hourly | About $3,900 at 300 doors | Their example for trust bookkeeping on AppFolio |
| BLS, May 2025 | $24.36 an hour median, $50,670 a year | Typical US employee | About $4,220 | Bookkeeping, accounting and auditing clerks |
A 40-hour week at $4 an hour is about $690 a month. A 40-hour week at $10 is about $1,740. A 20-hour week at $6 to $10 is about $520 to $870. BLS’s $24.36 is the in-office US clerk, not the remote AppFolio specialist, and it is before payroll tax, benefits or a software seat.
APM Help’s $3,900 is their own September 1, 2026 example for a 300-door AppFolio book, about $13 a door. They write that smaller books cost more per door. It is not a quote for 50 doors.
What the hourly number leaves out
The rate on the posting is one line. Last month’s bill is hours, scope and whether the books already rec.
| Line | On the listing | What you actually pay |
|---|---|---|
| Hourly rate | $4, $6 to $10, $34 | Rate times hours worked |
| Hours | 20, 40, or blank | The close, plus whatever else you dump on the seat |
| Month-end packet | Often buried in a full-time post | Rec, statements, draws. One OnlineJobs.ph listing updated 2025-08-07 asked for 4 hours a week at $8 to $12, heavy between the 5th and the 15th |
| Cleanup | Sometimes mixed into the hourly | A prior-year cleanup is a project. The $5.50 post was 67 long-term doors and 20 short-term listings that did not tie out |
| US benefits | Not in BLS median | Payroll tax, health, PTO and a software seat sit on top of $4,220 |
| Training | “AppFolio required” | If they cannot walk last month’s rec, you are buying a training program |
Load the same seat with payables, tenant calls and work orders and you pay the full-time number even if month-end is only part of the week. Those are different jobs. Keep the hire on the books.
On BiggerPockets, a CPA asked an owner who wanted an overseas bookkeeper to type property-manager PDFs: if you are not a bookkeeper yourself, how will you know the work is right. Another reply said try the AppFolio general-ledger export first, because you still have to catch mistakes. You still review the rec.
Trust accounting is regulated and the rules differ by state. Colorado expects a monthly three-way rec for property-management trust accounts (audit process, read 2026-10-12). This is not legal advice. Check your own state’s commission and your CPA.
When the monthly number is worth it
| Office | Pay that bill? | Why |
|---|---|---|
| They already close AppFolio and can walk a three-way rec on a screen share | Yes | You are buying hours, not a training program |
| 50 to 300 doors, month-end is late because one person also leases and takes vendor calls | Usually | The rec and statements are a defined packet |
| On Core / Basic, no API, and the CPA still wants QuickBooks | Usually | They work from exports or inside AppFolio |
| You will not look at the rec | No | You still own the trust account |
| The candidate knows QuickBooks and used AppFolio once | No | The $4 post said do not apply without AppFolio |
| The trust account has not tied out in months | Not at the monthly rate | Price cleanup as a project, then the retainer |
AppFolio still wins owner ledgers, the in-app rec and canned owner statements. A good bookkeeper who already knows that workflow is worth the hours they take.
Four ways offices actually pay for month-end
1. Pay the person who already closes AppFolio
Right answer when they can close last month on a screen share, you will review the rec, and you give them a limited AppFolio role with no ability to move money. Pay for the hours the close takes. A 20-hour week at $6 to $10 is about $520 to $870 a month. A 40-hour week at $4 is about $690. Keep work orders and leasing off that seat.
2. Close it yourself in AppFolio
Right answer when the doors already rec in AppFolio, owners take the canned statement, and you can finish month-end from last month’s bank statement and the ledger exports. Cash cost is $0. The cost is your afternoon. AppFolio wins this job on its own books. You still pick the cutoff and refuse a negative draw. How to do a three-way trust account reconciliation is that packet.
3. Hire a US AppFolio bookkeeping firm
OJO publishes $34 an hour, $45 for cleanup, a $300 monthly minimum, and read-only bank access, read 2026-10-12. They work inside your AppFolio account. They win US hours, a published rate, and a bench. APM Help publishes a monthly example: about $3,900 at 300 doors for trust bookkeeping, dated September 1, 2026. Other firms exist; many do not print a price.
4. Keep AppFolio as the books, and close QuickBooks from the exports
Stay on Core. Run the general ledger, owner ledgers and deposit reports as of the statement date. Post a summary journal, or hand the files over. Some offices hire that month-end out. We make Propfina, which does this, so weigh that suggestion accordingly. Ask whether a tool writes back to AppFolio (it should not), whether QuickBooks posting can be undone, and whether it still works with no API.
How to tell this week
You have a real monthly number when you know the hours last month’s close took, the rate, whether cleanup is extra, and whether the person can walk the three-way rec on a screen share.
Pull last month’s trust-account bank statement, the general ledger, the owner-ledger export, two owner statements, and whatever invoice you already pay a bookkeeper. Sit with those files for an afternoon. If you can name the hours the close actually took, you know whether you are buying a part-time seat, a full-time wage, or a firm.
Frequently asked questions
Is a $4 an hour bookkeeper listing the monthly cost?
No. Multiply the posted rate by the hours they actually work. A 40-hour week at $4 is about $690 a month. A 20-hour week at $6 to $10 is about $520 to $870. Load that seat with payables and work orders and you pay the full-time number even if month-end is only part of the week. Those are listings, not a quote for your doors.
How much does an in-house US property management bookkeeper cost?
The Bureau of Labor Statistics median for bookkeeping, accounting and auditing clerks was $50,670 a year, or $24.36 an hour, in May 2025. That is about $4,220 a month before payroll tax, benefits or a software seat. It is the US clerk wage, not a published AppFolio-specialist salary. A hire who still has to learn trust accounting costs more than the wage.
How much does a US AppFolio bookkeeping firm charge per month?
OJO, read 2026-10-12, bills $34 an hour for ongoing AppFolio bookkeeping, $45 for cleanup, and a $300 monthly minimum, for portfolios of 50-plus units. Hours times $34 is the bill. APM Help's September 1, 2026 article says a typical 300-door AppFolio company pays about $3,900 a month for trust bookkeeping. Other firms quote. Many do not print a price.
Do I still have to review the trust rec if I pay a bookkeeper?
Yes. They post and rec. You still own the trust account for the state exam. Open the rec, the owner-ledger export and two owner statements and confirm the ending balances match. Colorado expects a monthly three-way rec. Rules vary by state. This is not legal advice. Check your commission and your CPA.
What should a monthly property management bookkeeping fee include?
At minimum: rent batches tied to the bank, a three-way trust rec, no negative owner ledgers, and owner statements from those same ledgers. Ask whether payables, owner draws, 1099s and a QuickBooks packet are in the fee or extra. Cleanup of months that never rec is a project, not the monthly retainer.
