Best property management bookkeeping services in 2026?

By the Propfina team · Published · Updated

The best property management bookkeeping service for a 50-to-300-door office is a specialist who already closes AppFolio, Buildium or Rentvine, including the three-way trust rec and owner statements from those ledgers. OJO, APM Help, REA and PM Bookkeeper work inside your login.

This is the buy for an office that already exports the general ledger, owner ledgers and the trust-account bank statement, and is weighing a bookkeeping firm against closing the month in-house or hiring one remote bookkeeper.

What you are actually buying

The packet is rent batches tied to the bank, vendor bills on the right door, security deposits as a liability, management fees moved to operating, owner draws from that owner’s available balance, a monthly three-way trust rec, and owner statements from those ledgers.

How to do bookkeeping for a small property management company is that cycle. AppFolio, Buildium and Rentvine already hold the owner and tenant ledgers and the rec. On their own books, that rec works. AppFolio (June 16, 2026) calls the monthly job a Triple Tie Out of owners, banks and the general ledger. A bookkeeper trained only on QuickBooks often posts rent as company income. That is how a trust rec goes short. Best accounting software for small property management companies is the platform buy. You still review. The firm posts. Your name stays on the state exam.

OJO wins the printed hourly rate and a login that cannot move money. APM Help wins daily recs and a per-door example at 300 units. REA wins AppFolio Stack-partner access inside your instance, plus a tax team. PM Bookkeeper wins a US person and a calendar date for statements. Propfina wins the export packet. Nobody wins every column. How much a property management bookkeeper costs per month is the wage math if you hire a person instead.

OJO Bookkeeping

OJO’s AppFolio page, read 2026-11-02, prints $34 an hour for ongoing bookkeeping, $45 for cleanup, a $300 monthly minimum, and a 50-unit floor. Official AppFolio and Buildium partner. The bookkeeper works inside your existing AppFolio account with their own login. Bank access is read-only. They cannot move money. You still release every payment.

OJO’s homepage, read 2026-11-02, says no long-term contract, cancel anytime, and a 30-day money-back guarantee. Support during US business hours. Based in Boise. Hours times $34 is the bill. OJO’s services page says monthly three-way is the standard and daily recs are available.

On X in November 2023, one PM wrote they use OJO for a lot of AppFolio work and called it great value. Threads on r/AccountingPH discuss OJO as a Philippine hiring shop. Ask who sits on your books, and in which hours. OJO wins a printed rate and a login that cannot move money. It stops at hourly variance. If you need a fixed invoice before the month starts, get the estimator number in writing.

APM Help

APM Help’s cost article, dated September 1, 2026 and read 2026-11-02, prices Trust Bookkeeping per unit with a monthly minimum. Their example: a typical 300-door company on AppFolio pays about $3,900 a month, about $13 a door. Smaller books cost more per door. Cleanup is a separate project. Daily bank recs.

APM Help’s Trust Bookkeeping page, read 2026-11-02, says online payables go to you or your eCheck approver as a batch, and a person on your team releases funds with a code. An APM Help article dated June 15, 2026 says the team that recs is separate from the team that approves disbursements, and reports a 100 percent trust-account-audit pass rate since 2017. Those are APM Help’s claims.

APM Help’s master services agreement, read 2026-11-02, sets a twelve-month initial term unless the accepted order says otherwise. A convenience termination during that term takes effect on or after month six, with two months’ written notice. Month-to-month orders exist if the order form names them. Read the order.

On r/PropertyManagement in December 2024, one office at 75 doors wrote that APM Help would not take the call. Another comment put a 400-unit triple-tie around $5,000 to $6,000 a month. Those are comments. Use APM Help’s $3,900 example and get a number on your database. APM Help wins daily recs and a per-door bill at a few hundred doors. It stops at the unpublished rate for a 50-to-150-door book and the twelve-month default.

REA

REA’s AppFolio page, read 2026-11-02, is a certified AppFolio Stack partner. Property accountants work with accountant access inside your instance, rather than exporting to a parallel ledger. They list 230-plus property accountants. That is REA’s figure. Scope includes trust and corporate books, bank recs, owner distributions, cleanup, 1099s and tax prep.

REA’s cost page, dated October 21, 2026 and read 2026-11-02, prints monthly bookkeeping for smaller portfolios from $499 a month, and a full back office from $2,500 a month. The $499 tier, they write, covers bank and card rec, bill pay, monthly reporting, owner distributions, management-fee tracking and tax-ready statements. Final pricing is after a consult. They write that bank accounts, entities and trust funds move the quote more than door count.

REA wins Stack-partner access inside AppFolio and a tax team on the same roster. A 50-to-300-door trust book may land above $499. Ask whether that start tier includes the three-way rec and owner statements for your doors.

PM Bookkeeper

PM Bookkeeper’s pricing page, read 2026-11-02, does not print a dollar. Flat monthly, based on units, entities, book condition and volume. Cleanup quoted separately. Every plan, they say: a dedicated US-based AppFolio expert, daily transaction entry, bank recs by the 10th, owner statements by the 10th, and two distribution and management-fee runs a month.

PM Bookkeeper wins a US person on the account and a calendar date for statements. It stops at the missing list price. Get the quote in writing, including who covers PTO and who releases payments.

Propfina

We make Propfina, so weigh this entry accordingly. Software is $149 a month. Managed is $5 per door, $400 minimum. It drafts the rec and owner statements from exports, including AppFolio Basic, and never writes back. It does not post inside AppFolio. At capacity, not onboarding.

What most small PM firms actually run

Close the month in AppFolio, Buildium or Rentvine when the rec already ties and owners take the canned statement. How to do a three-way trust account reconciliation is that packet.

Price OJO when you want hours and a printed rate. Price APM Help when daily recs and a per-door bill at a few hundred doors is the job. Price REA when you want Stack-partner access and tax prep in the same shop. Price PM Bookkeeper when you want a US AppFolio person and a flat invoice.

An offshore hire who already closes AppFolio is a different buy. Should I hire an offshore bookkeeper who knows AppFolio? is that seat. One OnlineJobs.ph post, still up 2026-11-02 and updated 2026-08-28, lists $4 an hour at 40 hours a week, AppFolio required, Basic, no API. Another, updated 2026-05-05, lists $6 to $10 at 20 to 40 hours. A 40-hour week at $4 is about $690 a month. Those are listings. The BLS median for bookkeeping clerks was $24.36 an hour in May 2025, about $4,220 a month before payroll tax.

Trust accounting is regulated and the rules differ by state. Colorado expects monthly three-way recs for property-management trust accounts (audit process, read 2026-11-02). This is not legal advice. Check your own state’s commission and your CPA.

How to tell this week

You have a real service when they walk last month’s three-way rec on a screen share, their login cannot release payments unless you said so, and the rec, the owner-ledger export and two owner statements show the same ending balances.

Open last month’s trust-account bank statement next to the general ledger, the owner-ledger export and two owner statements. Spend an afternoon on those four files. Name what is still open. That tells you whether the next bill should be hours, a per-door firm, a US bookkeeper on a flat quote, or an export packet.

Frequently asked questions

How much does a property management bookkeeping service cost per month?

OJO prints $34 an hour with a $300 monthly minimum, read 2026-11-02. APM Help's September 1, 2026 example is about $3,900 a month at 300 doors for trust bookkeeping. REA starts at $499 a month for smaller portfolios and $2,500 for a full back office. PM Bookkeeper quotes. Propfina Software is $149 a month. Get a number on your database.

Do I still have to review the trust rec if a bookkeeping service closes the month?

Yes. The firm posts and recs. The license still sits on you. Pull the rec, the owner-ledger export and two owner statements and check the ending balances agree. Colorado asks for a monthly three-way rec. Rules vary by state. This is not legal advice. Check your commission and your CPA.

Is hiring an offshore AppFolio bookkeeper the same as a bookkeeping service?

No. A service is a firm with a bench and a named method. An offshore hire is one person you find, train and check. Job posts still list $4 an hour at 40 hours, updated 2026-08-28, and $6 to $10 at 20 to 40 hours, updated 2026-05-05. Ask them to walk last month's three-way rec on a screen share.

Does AppFolio already do the bookkeeping a service would do?

AppFolio, Buildium and Rentvine already hold owner ledgers, the three-way rec and owner statements. The service is the person who posts, recs and sends those statements on time. On its own books, AppFolio's rec works. The firm does not replace the PM software. Keep property detail there.

What should a monthly property management bookkeeping fee include?

Rent batches that tie to the bank, a three-way trust rec, owner ledgers that stay non-negative, and owner statements from those ledgers. Confirm whether payables, owner draws, 1099s and a QuickBooks packet sit in the retainer. Months that never rec are a cleanup project with their own price.
