Best accounting software for small property management companies in 2026?
By the Propfina team · Published · Updated
The best accounting software for a small property-management company is the PM platform that already holds owner ledgers and the three-way trust rec, plus QuickBooks Online for the company file. AppFolio, Buildium and Rentvine win the trust books. QuickBooks wins the file the CPA already opens.
This is the buy for an office of about 50 to 300 doors, often with a few short-term listings, that already runs one of those PM tools and keeps QuickBooks because the CPA works in it.
Two jobs, not one product
Trust accounting holds other people’s money. Company bookkeeping tracks what the firm earned. One file for both is how rent lands as sales and the rec stays open.
| Book | What you record | Whose money |
|---|---|---|
| Trust / property books | Rent deposits, security deposits, owner funds, owner draws, vendor bills paid from trust | Owners and tenants |
| Company books | Management fees, payroll, software, office rent | The firm |
AppFolio, Buildium and Rentvine win the trust books. They keep owner and tenant ledgers in the same system as the bank rec. On their own books, that rec works. QuickBooks Online wins the company file most CPAs already open.
On r/Bookkeeping in September 2024, offices wrote they keep the property side in the PM software and the corporate books in QuickBooks because trust accounts have to stay separate. How to do bookkeeping for a small property management company is that monthly cycle.
Four tools we priced
Prices below are from each vendor’s own pricing page, read 2026-10-14, unless a help article carries an earlier date. They are not a ranked list.
| Tool | Cost | Three-way trust rec | Owner statements | Company file the CPA opens |
|---|---|---|---|---|
| AppFolio | Cards: Get a Quote. Product data: Core $1.49 per unit/month, 50-unit minimum. Plus $3.20. Max $5.00. Minimum spend unpublished | Yes, in AppFolio. Triple Tie Out of owners, banks and the general ledger, monthly | Yes. Property accounting and reports sit on Core | Optional Corporate Accounting. Most CPAs still open QuickBooks |
| Buildium | Essential from $62/month, Growth from $192, Premium from $400. No 50-unit floor on the cards | Trust Reconciliation report. Their own guide walks a monthly three-way of bank, software and client ledgers | Yes. Standard reporting on Essential. Reporting automation called out on Growth | No. Keep QuickBooks for payroll and tax |
| Rentvine | As low as $1.50 per unit. One plan, all features. One-time setup fee, amount unpublished | Yes. 3-way tie of bank statement, trust ledger and property ledgers | Yes. Custom statements and owner portal, included | CSV export of management-fee invoices. No live QuickBooks sync |
| QuickBooks Online | Plus $140/month list, Advanced $340. A 50 percent intro for three months was on the page | No. Bank versus register only | No. Rebuild from exports | Yes. That is the product |
AppFolio wins the in-app rec once you clear 50 doors. Buildium wins a printed starting price. Rentvine wins one plan with the 3-way rec and the API included. QuickBooks wins the CPA’s file. Nobody wins every column.
AppFolio
AppFolio’s pricing, read 2026-10-14, lists Core, Plus and Max. Each card ends in Get a Quote. Core’s footnote is a 50-unit minimum and a minimum spend. The same page’s product data lists Residential Core at $1.49 per unit per month, Plus at $3.20 and Max at $5.00. Multiplying 50 by $1.49 is not the monthly bill.
Core includes Property Accounting & Reports. Owner ledgers, owner statements and the trust rec live there. AppFolio (June 16, 2026) calls the monthly job a Triple Tie Out of owners, banks and the general ledger, and says to rec it monthly, 100 percent of the time. That job does not need an API. Core has no API. Plus lists a read-only API. Max lists read/write. Does AppFolio Basic have an API? is the plan question.
AppFolio now sells Corporate Accounting so the management company’s books can sit on the same platform. Many CPAs still want the operating file in QuickBooks. Ask the quote which plan includes corporate books, and whether your CPA will open AppFolio at tax time.
AppFolio wins a 50-to-300-door office that wants one system of record for owners, tenants and the rec. It stops at the unpublished minimum spend, the 50-unit gate, and the missing QuickBooks button. How much AppFolio costs is the quote.
Buildium
Buildium’s pricing, read 2026-10-14, prints a number. Essential starts at $62 a month with basic accounting, maintenance, leasing and standard reporting. Growth starts at $192. Premium starts at $400 and adds an Open API. There is no 50-unit minimum on those cards. Bank-account setup is $99 per business account on Essential. Incoming EFT is $2.35 on Essential, $1.35 on Growth.
Buildium’s help has a Trust Reconciliation report built as the packet state boards ask for. Their trust-accounting guide (December 8, 2025, read 2026-10-14) walks a monthly three-way of bank statement, software balance and the sum of client ledgers. Owner statements pull from the same ledger. Reporting automation with scheduled delivery is called out on Growth.
Buildium wins the office that wants a published start price, or that sits under AppFolio’s 50-unit gate. A 70-door office on r/USPropertyManagement in March 2026 asking about leaving Buildium for AppFolio was told the minimums can make that jump overkill. It stops at the company file. Payroll and the tax return still land in QuickBooks.
Rentvine
Rentvine’s pricing, read 2026-10-14, is as low as $1.50 per active unit, one plan, all features. Trust accounting, owner statements and the Open API are in that plan. Onboarding is a one-time setup fee. The amount is not published. Get it on the demo.
Rentvine’s trust-accounting page (read 2026-10-14) is a 3-way tie of bank statement, trust ledger and property ledgers, with bank sync through Plaid. Management fees move to a manager’s ledger when they are earned. Owner statements are custom per owner, with a portal.
Rentvine does not live-sync to QuickBooks. It exports a CSV of invoices from Money Out. Does Rentvine integrate with QuickBooks Online? is that path. Keep the three-way rec in Rentvine.
Rentvine wins the office that wants every accounting feature, including the API, on one printed as-low-as rate. It stops at the unpublished setup fee and the missing live QuickBooks feed.
QuickBooks Online
Intuit’s pricing, read 2026-10-14, lists Simple Start at $38 a month, Essentials at $85, Plus at $140 and Advanced at $340, each with a 50 percent intro for three months on that day. Plus is the floor most offices mean: five users, class tracking, project profitability. Advanced is $340 and 25 users.
QuickBooks wins the two-way rec and the corporate P&L. It has no owner ledger, no tenant security-deposit ledger and no native owner statement. Classes on Plus (up to 40, combined with locations) can split a P&L by property. That is not a three-way trust rec. How to create owner statements in QuickBooks is the rebuild if you try anyway.
Do not book a trust rent batch as sales. The firm’s income is the management fee after it leaves trust. Keep property detail in the PM software. Post the fee into QuickBooks.
QuickBooks wins because the CPA already lives there. It stops at owner money.
What most small PM firms actually run
A 50-to-300-door office already paid for the trust books. Close the month in AppFolio, Buildium or Rentvine. Send owner statements from those ledgers. Keep QuickBooks for payroll, operating costs and tax.
Stay on the PM platform you already rec in when the books close and owners get statements on time. Price Buildium or Rentvine when AppFolio’s 50-unit gate or unpublished minimum spend is the problem. Keep QuickBooks even if AppFolio offers corporate books, unless the CPA will open AppFolio.
Some offices keep that stack and hire the month-end packet: the three-way rec, the payout splits and the owner-statement drafts, from the exports they already run. We make Propfina, which does this, so weigh that suggestion accordingly.
Rules vary by state. Colorado expects monthly three-way recs for property-management trust accounts (audit process, read 2026-10-14). This is not legal advice. Check your own state’s commission and your CPA.
How to tell this week
The software is doing its job when last month’s adjusted bank, trust ledger and the sum of owner and tenant ledgers agree to the cent, no owner ledger is negative, management fees landed in operating, and the CPA’s QuickBooks file shows the fee rather than the rent.
Open last month’s trust-account bank statement, the general ledger and owner-ledger exports, and the operating P&L in QuickBooks. Price the PM platform that already holds the rec, then keep the company file where the CPA already works. Start with those files. They already show which job is still done by hand.
Frequently asked questions
Do I still need QuickBooks if AppFolio already keeps the books?
For the doors, no. AppFolio, Buildium and Rentvine already hold owner ledgers, the trust rec and owner statements. QuickBooks Online is the company file most CPAs already open: payroll, operating expenses and tax. Post the management-fee transfer into QuickBooks, not every rent receipt.
Does QuickBooks Online do a three-way trust reconciliation?
No. QuickBooks Online reconciles a bank account to its register. That is two numbers. The third is the sum of every owner ledger and every tenant security-deposit ledger on the same cutoff, which lives in the PM software, not in QuickBooks.
How much does AppFolio cost for a 50-door office?
The cards say Get a Quote. The same page's product data, read 2026-10-14, lists Residential Core at $1.49 per unit per month with a 50-unit minimum. Plus is $3.20 and Max is $5.00. A minimum spend sits on the quote. Multiplying 50 by $1.49 is not the bill.
Is Buildium cheaper than AppFolio for a small property management company?
Buildium prints a start price. Essential starts at $62 a month, Growth at $192, Premium at $400, read 2026-10-14, with no 50-unit floor on the cards. AppFolio's Core product data is $1.49 per unit with a 50-unit minimum and an unpublished minimum spend. Price both quotes on the same door count, including bank-setup and payment fees.
Can Rentvine replace QuickBooks for the company's tax file?
Not as a live swap. Rentvine runs the three-way rec and owner statements. It exports a CSV of management-fee invoices from Money Out, which you import into QuickBooks. There is no native live sync. Keep the CPA's operating file in QuickBooks.
