Alternatives to hiring an offshore AppFolio bookkeeper?

By the Propfina team · Published · Updated

The alternatives to hiring an offshore AppFolio bookkeeper are close last month yourself in AppFolio, OJO at $34 an hour, APM Help’s trust desk, TrustRecon rec-only, or a US clerk. Skip the $4 hire when the rec already ties, or when you want a bench.

This is for a 50-to-300-door office on AppFolio, often Core, still called Basic, that already exports the general ledger, owner ledgers, and the trust-account bank statement, and is looking for a way off a $4 remote seat.

What the $4 hire actually costs

Should I hire an offshore bookkeeper who knows AppFolio? is the hire question. One OnlineJobs.ph post, still up 2026-11-02 and updated 2026-08-28, lists $4 an hour at 40 hours a week, AppFolio required, Basic, no API. Another, updated 2026-05-05, lists $6 to $10 at 20 to 40 hours. A 40-hour week at $4 is about $690 a month. Those are listings.

On BiggerPockets in November 2025, Chris Seveney wrote that overseas bookkeeping results have not been great, and you get what you pay for. You still review. How much a property management bookkeeper costs is the wage math.

Six alternatives we priced

Prices below are from each vendor’s own page, read 2026-11-02, unless a job post or BLS page carries an earlier date. AppFolio still wins owner ledgers, the in-app rec, and canned owner statements.

AppFolio wins the in-app close. OJO wins a printed hourly rate and cancel-anytime. APM Help wins daily recs and a per-door example at a few hundred doors. TrustRecon wins a printed rec-only price from exports. The US clerk wins office hours and a W-2. Propfina wins the export packet. Nobody wins every column.

Close it yourself in AppFolio

Right answer when the doors already rec, owners take the canned statement, and you can finish month-end from last month’s bank statement and the ledger exports. Cash cost is $0. The cost is your afternoon.

AppFolio on June 16, 2026 calls the monthly job a Triple Tie Out of owners, banks, and the general ledger, rec’d monthly. That job lives in AppFolio. Core has no API. You still export. How to do a three-way trust account reconciliation is the packet.

AppFolio’s staffing page, read 2026-11-02, lets you create custom user roles and limit access. Keep payment release in the office. It stops when the same person also leases, or when the trust account has not tied out in months. That is cleanup, priced as a project.

OJO Bookkeeping

OJO’s AppFolio page, read 2026-11-02, bills $34 an hour for ongoing work and $45 for cleanup, with a $300 monthly minimum and a 50-unit floor. Official AppFolio partner. The bookkeeper logs into your existing database with their own user. Bank access is read-only.

OJO’s homepage, read 2026-11-02, says no long-term contract, cancel anytime, and a 30-day money-back guarantee. Based in Boise. Hours times $34 is the bill. OJO’s services page lists monthly three-way as the standard and daily recs as available.

r/AccountingPH threads from 2024 through 2026 treat OJO as a Philippine hiring shop. Ask who sits on your books, and in which hours. In November 2023 on X, Wolfgang Croskey wrote that OJO handles a lot of their AppFolio work and called it great value. OJO wins a printed rate and a login that cannot move money. It stops at hourly variance. Get the estimator number in writing if you need a fixed invoice. Best property management bookkeeping services prices REA and PM Bookkeeper next to OJO.

APM Help

APM Help’s cost article, dated September 1, 2026 and read 2026-11-02, prices Trust Bookkeeping per unit with a monthly minimum. Their example is a typical 300-door company on AppFolio at about $3,900 a month, about $13 a door. Smaller books cost more per door. Cleanup is a separate project. Daily bank recs.

APM Help’s Trust Bookkeeping page, read 2026-11-02, sends online payables to your eCheck approver, who releases funds with a code. Hours are 8 a.m. to 6 p.m. Central. They claim a 100 percent trust-account-audit pass rate since 2017. That is APM Help’s claim. APM Help’s master services agreement, read 2026-11-02, sets a twelve-month initial term unless the Order is month-to-month.

On r/RealEstate in November 2023, a reply to an AppFolio-to-QuickBooks ask named APM Help next to OJO and REA. APM Help wins daily recs and a per-door bill at a few hundred doors. It stops at the unpublished rate for a 50-to-150-door book.

TrustRecon

TrustRecon’s pricing, read 2026-11-02, prints $199 a month self-serve under about 300 doors, and $1,495 a month full service up to about 1,000 doors. You upload exports on self-serve. Full service adds a named contact. Cleanup is a fixed quote after a free audit. Cancel anytime, their claim.

TrustRecon works from read-only exports or a read-only API. It never writes to your systems and never touches money. Typical buyer, they write, is 100 to 3,000 doors on AppFolio or Buildium. Outsourced trust account reconciliation is that rec-only job.

TrustRecon wins a printed rec-only price and a login that cannot post. It stops at posting. You still enter rent, bills, and draws. A 50-door office sits under their typical floor.

A US in-house bookkeeper

The BLS median for bookkeeping clerks was $24.36 an hour, $50,670 a year, in May 2025. That is about $4,220 a month before payroll tax, benefits, or a software seat. It is the US clerk wage, not a published AppFolio-specialist salary.

Right answer when you want someone in the office, on your hours, with a W-2. Give them their own AppFolio user. Keep payment release off that role until you have watched a close. It stops at one point of failure. When they leave, the books’ logic leaves with them.

On r/PropertyManagement in July 2024, a comment on a remote AppFolio bookkeeper post asked why anyone would give an overseas person owner routing numbers and a piece of mail. A US employee still gets a limited role. The PII stays in your office. That is a real row the clerk wins.

Propfina

We make Propfina, so weigh this entry accordingly. Software is $149 a month. Managed is $5 per door, $400 minimum. It does not post inside AppFolio. At capacity.

What most small PM firms actually run

Close the month in AppFolio when the rec already ties and owners take the canned statement. Price OJO when you want hours and a printed rate. Price APM Help when daily recs at a few hundred doors is the job. Price TrustRecon when posting is current and the gap is the three-way packet. Hire the US clerk when you want a person in the room.

REA prints monthly bookkeeping for smaller portfolios from $499 a month, dated October 21, 2026. PM Bookkeeper does not print a dollar.

Trust accounting is regulated and the rules differ by state. California’s Department of Real Estate wrote on October 6, 2026 that even if you hire a bookkeeper, the broker or designated officer is still responsible for complete records. Colorado expects monthly three-way recs for property-management trust accounts, per its broker financial audit process, read 2026-11-02. This is not legal advice. Check your own state’s commission and your CPA.

How to tell this week

You have a real alternative when they walk last month’s three-way rec on a screen share, their login cannot release payments unless you said so, and the rec, the owner-ledger export, and two owner statements show the same ending balances.

Pull last month’s trust-account bank statement, the general ledger, the owner-ledger export, and two canned owner statements. Spend an afternoon on those four files. Name what is still open. That list is what you send when you ask a firm, a rec desk, or a clerk for a number.

Frequently asked questions

Can I close AppFolio myself instead of hiring an offshore bookkeeper?

Yes, when last month already recs and owners take the canned statement. AppFolio already holds owner ledgers, the Triple Tie Out, and owner statements. Cash cost is $0. The cost is your afternoon. You still pick the cutoff and refuse a negative draw. Check your state's rec rules and your CPA.

Is a US AppFolio bookkeeping firm cheaper than a $4 an hour hire?

The hourly wage is higher. OJO prints $34 an hour with a $300 monthly minimum, read 2026-11-02. A 40-hour week at $4 is about $690 a month. That $4 listing is a wage, and you still train and check them. A firm bills more and includes a bench. Get a number on your database.

Does a rec-only service replace an AppFolio bookkeeper?

No. Rec-only runs the three-way packet and flags what does not tie. You still post rent, bills, and draws. TrustRecon prints $199 a month self-serve under about 300 doors, read 2026-11-02, from read-only exports. Full-service trust bookkeeping also posts. Ask which job is on the quote.

Do I still have to review the trust rec if a firm closes the month?

Yes. California's Department of Real Estate wrote on October 6, 2026 that even if you hire a bookkeeper, the broker or designated officer is still responsible for complete records. Pull the rec, the owner-ledger export, and two owner statements. Confirm the ending balances match. This is not legal advice.

Should an alternative bookkeeper get a bank login that can move money?

No. Give them their own AppFolio user with a limited role. Keep payment release in the office. OJO says bank access is read-only. APM Help sends eCheck batches to your approver, who releases funds with a code. TrustRecon never writes to your systems. Check that setup with your CPA or counsel.
