Outsourced trust account reconciliation for property management?
By the Propfina team · Published · Updated
Outsourced trust account reconciliation for property management is a firm or hire that runs the monthly three-way rec of the trust bank, the trust ledger, and every owner and tenant ledger, then hands you the packet to sign. The broker still owns the account.
This is the buy for a small property-management office of about 50 to 300 doors on AppFolio, Rentvine or Buildium that exports the general ledger, owner ledgers and the trust-account bank statement, and wants the rec done without handing over leasing or a login that can move money.
What the rec desk actually does
The packet is not a two-way bank rec. It is the three-way match state examiners ask for: adjusted bank balance, trust ledger, and the sum of every owner ledger and every tenant security-deposit ledger, same cutoff date, to the cent. How to do a three-way trust account reconciliation is that job.
AppFolio, Rentvine and Buildium already hold those ledgers. On their own books, the rec works. AppFolio (June 16, 2026) calls it a Triple Tie Out of owners, banks and the general ledger, rec’d monthly, 100 percent of the time. Rentvine (read 2026-11-02) sells the same 3-way tie in the software. The outsourced desk picks the cutoff, ticks outstanding checks, holds a negative owner, and refuses draws until the difference is $0.00.
A two-way rec that closes while owner statements are still wrong is not this job.
Rec-only versus the full back office
Most quotes blur the rec into bookkeeping. They are different buys.
| Job | Rec-only | Full trust bookkeeping |
|---|---|---|
| Three-way packet each month | Yes | Yes |
| Post rent, bills, deposits | You still post | They post |
| Owner statements and draws | After the rec, often still you | Usually in the fee |
| Who releases payments | You | You still approve the batch |
| Months that never rec | Extra project | Extra project |
Rentvine’s accounting services (read 2026-11-02) prints both. Monthly reconciliation is $1 per unit per account, $150 minimum per account: they flag incorrect transactions for you to correct, run weekly soft recs and a monthly hard rec, and prepare a three-way packet. Full-service trust accounting is $13 per unit, $500 minimum, plus $500 onboarding, and it also posts payables, move-in and move-out, owner payments and statements.
TrustRecon (read 2026-11-02) is a rec desk for AppFolio and Buildium. It works from read-only exports or a read-only API, never writes to your systems, and never touches money. No list price. It says the fee is about half a bookkeeping hire. Typical buyer, they write, is 100 to 3,000 doors.

What it costs
These figures are from vendor pages and job posts, read 2026-11-02, plus the BLS wage. They are not a quote for your doors.
| Option | Cost, as published | What you get |
|---|---|---|
| Rentvine monthly rec | $1 per unit per account, $150 per account minimum | Rec-only. They flag. You correct. |
| Rentvine full-service | $13 per unit, $500 minimum, plus $500 onboarding | Full trust books inside Rentvine |
| APM Help | About $3,900 a month at 300 doors, dated September 1, 2026 | Full trust bookkeeping, daily recs, their claim |
| REA | From $499 a month smaller portfolios. From $2,500 a month full back office. Dated October 21, 2026 | Full bookkeeping. Ask if three-way rec sits in the $499 start |
| TrustRecon | Quote only | Rec from exports, read-only |
| One remote hire | OnlineJobs.ph $4 an hour at 40 hours, updated 2026-08-28 | You train and check. About $690 a month |
| US clerk wage | BLS median $24.36 an hour, May 2025 | About $4,220 a month before payroll tax |
A 150-door Rentvine rec-only bill at $1 a unit is $150, also the minimum. Two trust accounts, operating and deposits, are two bills. Full-service at $13 is $1,950 at 150 doors. APM Help’s $3,900 is their 300-door example, not a 50-door quote. They write that a 40-door company still needs its banks rec’d.

What still sits on you
California’s Department of Real Estate wrote on October 6, 2026 that even if you hire a bookkeeper, the broker or designated officer is still responsible for complete records. In its October 2024 bulletin, DRE reported that of 361 audits in FY 2023-24, about 57 percent found recordkeeping violations and about 32 percent found trust shortages totaling about $3.5 million.
Colorado expects monthly three-way recs and lists negative ledger balances among common violations (audit process, read 2026-11-02). Texas requires a monthly accounting when the account had activity, TREC Rule 535.146(c)(6). Rules vary by state. This is not legal advice. Check your own commission and your CPA.
On BiggerPockets, CPA Jason Malabute asked an owner who wanted an overseas bookkeeper: if you are not a bookkeeper yourself, how will you know the work is right. Open the rec, the owner-ledger export and two owner statements. Confirm the ending balances match.
Do not give the rec desk a bank login that can move money. APM Help (read 2026-11-02) sends online payables to your eCheck approver, who releases funds with a code. TrustRecon never writes. Give them their own user with a limited role.
On r/PropertyManagement in September 2025, an office heading into a commission audit wrote that the trust account had never reconciled to the bank and several properties showed negative balances they could not verify. That is cleanup, not a monthly rec retainer.
When outsourcing the rec is worth it
| Office | Outsource the rec? | Why |
|---|---|---|
| Rec already ties and owners take the canned statement | No | The PM software already wins this job |
| 50 to 300 doors, month-end is late because one person also leases | Usually rec-only | The packet is defined |
| On Rentvine and you want a printed rec-only package | Yes, their $1 line | They flag. You still post |
| Trust account has not tied out in months | Not at the monthly rec rate | Price cleanup as a project |
| You will not look at the packet | No | The license is still yours |
| Candidate knows QuickBooks and used the PM software once | No | The $4 post said do not apply without AppFolio |
AppFolio, Rentvine and Buildium still win owner ledgers, the in-app rec and canned statements.
Four ways offices actually get the rec done
1. Close it yourself in the PM software
Right answer when the doors already rec, owners take the canned statement, and you can finish from last month’s bank statement and the ledger exports. Cash cost is $0. The cost is your afternoon. You still pick the cutoff and refuse a negative draw.
2. Buy a rec-only desk
Right answer when posting is already current and the gap is the three-way packet. Rentvine prints $1 per unit per account. TrustRecon works from AppFolio or Buildium exports and does not write back. Ask who corrects the exceptions. On Rentvine’s rec package, that is you.
3. Buy full-service trust bookkeeping
Right answer when you also want payables, move-in and move-out, owner payments and statements on the same bench. APM Help prints a 300-door example and daily recs. REA prints a $499 start. Get the quote on your database, including who releases payments. Peter Lohmann posted in August 2024 that his 680-unit Buildium book uses APM Help for trust accounting.
4. Hire the person who already closes, or hand only the export packet
Should I hire an offshore bookkeeper who knows AppFolio? is the seat. The $4 post, still up 2026-11-02, required AppFolio, trust rec, owner statements, Basic, no API. Ask them to walk last month’s rec on a screen share.
Some offices keep the PM software as the books and pay only for the month-end packet built from the exports they already run. We make Propfina, which does this, so weigh that suggestion accordingly. Ask whether a tool writes back to AppFolio, Rentvine or Guesty. It should not. Ask whether QuickBooks posting can be undone, and whether it still works with no API.
How to tell this week
You have a real rec desk when they walk last month’s three-way rec on a screen share, their login cannot release payments unless you said so, and the rec, the owner-ledger export and two owner statements show the same ending balances.
Pull last month’s trust-account bank statement, the general ledger, the owner-ledger export and two owner statements. Spend an afternoon on those four files. Name which of the three numbers still disagree. That list is what you send when you ask for a number.
Frequently asked questions
Can I outsource only the three-way rec without handing over all bookkeeping?
Yes. Rec-only means they run the three-way packet and flag what does not tie. You still post rent, bills and draws. Rentvine sells that as monthly reconciliation at $1 a unit per account with a $150 minimum, read 2026-11-02. Full-service trust bookkeeping also posts and pays. Ask which one is on the quote.
Do I still have to sign the trust rec if a firm runs it?
Yes. California's Department of Real Estate wrote on October 6, 2026 that even if you hire a bookkeeper, the broker or designated officer is still responsible for complete records. Colorado still asks for monthly three-way recs. Pull the rec, the owner-ledger export and two statements. Confirm the ending balances match. This is not legal advice.
How much does outsourced trust rec cost for a small PM office?
Rentvine's rec-only package is $1 a unit per account with a $150 monthly minimum, read 2026-11-02. Full-service trust accounting there is $13 a unit with a $500 minimum. APM Help's September 1, 2026 example is about $3,900 a month at 300 doors. REA starts at $499 for smaller portfolios. Get a number on your database.
Does AppFolio already finish the rec an outsourced firm would run?
AppFolio, Rentvine and Buildium already hold owner ledgers, the three-way rec and owner statements. On their own books that rec works. AppFolio calls it a Triple Tie Out of owners, banks and the general ledger, rec'd monthly. The outsourced desk is the person who ticks outstanding items and refuses a negative draw. The software does not sign the packet.
Should the outsourced rec team get a login that can move money?
No. Give them their own user with a limited role. Keep payment release and bank changes in the office. APM Help sends eCheck batches to your approver, who releases funds with a code. TrustRecon works from read-only exports and says it never writes to your systems. Check that setup with your CPA or counsel.
