Why don't AppFolio and QuickBooks sync, and how do property management firms work around it?
By the Propfina team · Published · Updated
AppFolio and QuickBooks have no live sync because AppFolio is its own property-management ledger, with owner ledgers and a three-way trust rec, and AppFolio never shipped a QuickBooks connector. Firms work around it by closing owner money in AppFolio and posting a monthly summary, or the management-fee transfer, into QuickBooks.
This is for a 50-to-300-door office on AppFolio, often Core, still called Basic, that already recs the trust account there and keeps QuickBooks Online because the CPA already opens that file.
Two ledgers, two jobs
Trust accounting holds other people’s money. Company bookkeeping tracks what the firm earned. AppFolio is the property-management ledger. QuickBooks Online is the file most CPAs already open. A live sync would copy owner money into a product that recs two numbers, bank versus register, and has no native owner statement.
Peter Lohmann, who runs a property-management company, wrote the same split on X on 2026-10-08: trust accounting lives in AppFolio, Rentvine, or Buildium. Corporate accounting lives in QuickBooks or Xero.
| Job | AppFolio | QuickBooks Online |
|---|---|---|
| Trust-account bank rec | Yes. Bank Feed matches bank lines in AppFolio | Two-way rec of bank versus register |
| Three-way rec of bank, trust ledger, and owner and tenant ledgers | Yes. AppFolio calls this a Triple Tie Out | The third number is the AppFolio ledgers |
| Owner statements and owner portal | Yes. Property accounting sits on Core | No native owner statement |
| Native live sync between the two | Never shipped | No AppFolio app in Intuit’s directory, searched 2026-11-03 |
| Management-fee income on the company books | The fee leaves trust | Yes. That is the file the CPA opens |
AppFolio wins the in-app books. On its own ledgers, that rec works. QuickBooks wins the operating file. Do I need QuickBooks if I use AppFolio? is the already-on-AppFolio version of this stack.
Why AppFolio never shipped a QuickBooks button
AppFolio built a general ledger and sells it as the system of record. AppFolio’s Form 10-K for the year ended December 31, 2025, filed February 5, 2026, calls Core a comprehensive, all-in-one system of record centered on accounting functionality. The same filing never mentions QuickBooks.
The accounting product page, read 2026-11-03, sells Corporate Accounting so the firm’s books sit on the same platform, “so nothing lives in a separate system or spreadsheet.” A December 5, 2025 small-portfolio write-up says built-in accounting tailored to property management, “no need for separate QuickBooks files.” That holds for the doors. Many CPAs still open QuickBooks for payroll, office bills, and tax.
AppFolio’s BK Management customer story is the missing connector in their own words. Accounting Manager April Schuette said they used QuickBooks for corporate accounting and AppFolio for property-management accounting, “and there was just no integration whatsoever.” They later moved corporate accounting into AppFolio.
AppFolio Stack, read 2026-11-03, lists ADP, AvidXchange, and SmartProperty as accounting app partners. QuickBooks is not among them. A search of Intuit’s QuickBooks App Store the same day did not turn up an AppFolio listing.
AppFolio on June 16, 2026 calls the monthly job a Triple Tie Out of owners, banks, and the general ledger. That job lives in AppFolio. How to do a three-way trust account reconciliation is that packet. Trust accounting is regulated and the rules differ by state. Check your own state’s commission and your CPA.
What the AppFolio API actually is
An API is a key that lets another system read or write your AppFolio database. The API pulls or writes AppFolio records. QuickBooks still has to be posted by a journal, a CSV, or a tool you buy separately.
AppFolio’s pricing page, read 2026-11-03, lists Core, Plus, and Max. Core has no API line. Plus lists a read-only API. Max lists a read/write API. Page data lists Residential Core at $1.49 per unit a month with a 50-unit minimum, Plus at $3.20, and Max at $5.00. What AppFolio costs is the quote. Does AppFolio Basic have an API? is the plan question. If a vendor asks for a Client ID, you cannot generate one on Core.
How firms actually work around it
1. Close the doors in AppFolio
Right answer when the books already close in AppFolio and the CPA will work from the AppFolio general ledger, owner ledgers, signed three-way rec, and owner statements. You still need somewhere to run payroll and office bills. Ask the CPA whether that somewhere has to be QuickBooks.
AppFolio’s BSG Enterprises story is one office that ran both systems in parallel, called it “horrible,” then left QuickBooks after the accountant said the two files matched. That path only works if your CPA will open AppFolio at tax time.
2. AppFolio for owners, QuickBooks for the firm
Right answer for most 50-to-300-door offices. Rec the trust account in AppFolio. Send owner statements from AppFolio. Transfer the earned management fee to operating. In QuickBooks, record that fee as income, rec the operating account, and keep payroll and office costs there.
On r/Bookkeeping in February 2025, the advice to a firm that wanted one system was this split, with management-fee income and payroll in QuickBooks. On r/appfolio in July 2023, connecting the two was “a manual process with spreadsheets to transfer.”
Intuit’s pricing, read 2026-11-03, lists Plus at $140 a month and Advanced at $340, each with a 50 percent intro for three months on that day. Plus is the plan most offices mean: five users, class tracking, two accountant seats.
3. Export a packet and post a summary journal
Stay on Core. Run the general ledger, owner ledgers, and deposit reports as of the bank-statement date. Post a summary journal into QuickBooks for cash, owner funds, security deposits, and the earned fee, or email the packet to the CPA. How to export AppFolio data to QuickBooks is the click path. AppFolio’s Report Builder write-up (November 9, 2023) says a custom report can be exported or saved.
Summit Ledger Books, writing on June 11, 2026, said AppFolio does not integrate with QuickBooks Online at all. If the numbers live in both places, someone is moving them by hand. Miss a month, and the gap compounds.
4. Buy a third-party sync after you ask the plan question
Third-party pages do advertise an AppFolio to QuickBooks connection. Qwickbridge Sync says it connects AppFolio with QuickBooks Online and Desktop. Its pricing page, read 2026-11-03, lists Basic at $49 a month, Pro at $99, and Advanced at $199, plus setup of $149 one-way or $199 two-way. The AppFolio product page does not say which AppFolio plan it needs or how it authenticates. Lazy Lync lists a scheduler still in development, with no public price, read 2026-11-03.
Ask before you pay: which AppFolio plan, whether a Client ID is required, and whether rent can land in income. On Core, a connector that needs an API key has nothing to attach to.
Some offices keep AppFolio for the doors and QuickBooks for the firm, and hire the month-end packet from the exports they already run. We make Propfina, which does this, so weigh that suggestion accordingly.
Dual full books is the failure
On r/Bookkeeping in July 2024, an office on AppFolio and QuickBooks wrote that they entered invoices and rent twice and paid them twice. Dual full books is the failure mode. QuickBooks income far above the management fee is the tell: rent posted as sales. Summit Ledger’s June 11, 2026 note names the other miss: security deposits and owner funds booked as income.
| Symptom | Likely cause | What to do |
|---|---|---|
| QuickBooks income is far higher than the management fee | Rent posted as sales | Reverse it. Rent is a liability until it is the owner’s |
| Trust bank in QuickBooks is twice the statement | Journal plus Categorize on the same deposit | Match the feed |
| Owner funds do not equal the owner-ledger export | Cutoff mismatch, or a draw posted in one system only | Re-export ledgers to the statement date |
| Both books rec, owner statements still wrong | Two-way rec only | Sum the AppFolio owner and tenant ledgers |
Pick one system of record for property-level detail. AppFolio wins owner ledgers and the three-way rec. QuickBooks wins the CPA’s corporate file. AppFolio vs QuickBooks is that split.
How to tell the workaround is working
The stack is doing its job when last month’s adjusted bank, trust ledger, and the sum of owner and tenant ledgers agree to the cent in AppFolio, no owner ledger is negative, and the CPA’s QuickBooks file shows the management fee rather than the rent.
Open last month’s AppFolio general ledger and owner-ledger exports, the deposit or receipts report, the trust-account bank statement, and the operating P&L if you already keep QuickBooks. Line the management-fee transfer up across those files. That is the whole bridge.
Frequently asked questions
Does AppFolio have a built-in QuickBooks integration?
AppFolio's BK Management story says there was no integration whatsoever between AppFolio and QuickBooks. The pricing page, Stack marketplace, and accounting page, all read 2026-11-03, list no QuickBooks connector. Core has no API. Plus lists a read-only API. Max lists a read/write API. Export the reports.
Can I connect AppFolio Core to QuickBooks with an API key?
Core has no API line on AppFolio's pricing page, read 2026-11-03. A vendor that asks for a Client ID has nothing to attach to. Plus is the floor for a read-only API. Max's write access goes back into AppFolio. Run the general ledger, owner ledgers, and deposit reports as of the statement date.
Should I enter every rent receipt in both AppFolio and QuickBooks?
Keep owner ledgers in AppFolio. Post the management-fee transfer into QuickBooks. On r/Bookkeeping in July 2024, an office on both systems wrote that they entered invoices and rent twice and paid them twice. Dual full books is the usual failure. QuickBooks income far above the management fee is the tell: rent posted as sales.
Do third-party AppFolio QuickBooks connectors work on Core?
Ask which AppFolio plan they need and how they pull the data. Core has no API. AppFolio's Stack marketplace, read 2026-11-03, lists no QuickBooks partner. Qwickbridge advertises a sync and lists prices from $49 a month; the AppFolio page does not name the plan or the pull method. Lazy Lync's scheduler is still in development.
Does upgrading to AppFolio Plus add a QuickBooks button?
Plus lists a read-only API and all Stack apps. QuickBooks is still missing from that list. The API can pull reports. Someone still maps accounts, keeps rent off company income, and runs the three-way rec in AppFolio. Get the Plus quote before you buy a connector that assumed you already had the key.
