Do I need QuickBooks if I use AppFolio?
By the Propfina team · Published · Updated
For owner money, no. AppFolio already holds owner ledgers, the three-way trust rec and owner statements. Keep QuickBooks when the CPA wants the company’s payroll, operating expenses and tax in a file they already open. Do not clone every rent receipt into both.
This is for a small property-management office of about 50 to 300 doors on AppFolio, often Core, still called Basic, that already closes the trust account there and is asking whether QuickBooks Online is still required.
Two jobs, not one product
Trust accounting holds other people’s money. Company bookkeeping tracks what the firm earned. AppFolio is the property-management ledger. QuickBooks Online is the file most CPAs already open. Those are two jobs.
| Job | In AppFolio | In QuickBooks Online |
|---|---|---|
| Trust-account bank rec | Yes. Bank Feed matches bank lines to records in AppFolio | Two-way rec of bank versus register until Difference is $0.00 |
| Three-way rec of bank, trust ledger, and owner and tenant ledgers | Yes. AppFolio calls this a Triple Tie Out | No. The third number is the AppFolio ledgers |
| Owner statements and owner portal | Yes. Property accounting sits on Core | No native owner statement |
| Native live sync between the two | No | No. AppFolio does not ship a connector |
| Management-fee income on the company books | The fee leaves trust | Yes. That is the file the CPA opens |
| Company payroll, office bills and tax | Optional Corporate Accounting. Ask the quote | Yes. Accountant access is on the paid plans |
AppFolio wins the in-app books. On its own ledgers, that rec works. QuickBooks wins the operating file. How to do bookkeeping for a small property management company is that split.
What AppFolio already does without QuickBooks
AppFolio’s pricing page, read 2026-10-14, lists Core, Plus and Max. Core includes Property Accounting & Reports. The cards say Get a Quote. The same page’s product data lists Residential Core at $1.49 per unit a month with a 50-unit minimum, Plus at $3.20 and Max at $5.00. A minimum spend sits on the quote. What AppFolio costs is that quote.
AppFolio (June 16, 2026) calls the monthly job a Triple Tie Out of owners, banks and the general ledger, and says to rec it monthly, 100 percent of the time. That job lives in AppFolio. It does not require QuickBooks, and it does not post itself into QuickBooks. How to do a three-way trust account reconciliation is that packet.
Owner statements also live in AppFolio. Owners can log into the owner portal and pull their own packet. Rebuilding that packet in QuickBooks is extra work, not a requirement. How to create owner statements in QuickBooks is the rebuild if you try anyway.
AppFolio’s own small-portfolio write-up (December 5, 2025) puts it in one line: built-in accounting tailored to property management, “no need for separate QuickBooks files.” That is true for the doors. It is not true for every CPA.
When you still keep QuickBooks
Keep QuickBooks when the person who files the return will only open a QuickBooks file. Paid QuickBooks Online plans include accountant access. Intuit’s pricing, read 2026-10-14, lists Simple Start at $38 a month, Essentials at $85, Plus at $140 and Advanced at $340, each with a 50 percent intro for three months on that day. Plus is the plan most offices mean: five users, class tracking, and two accountant seats.
QuickBooks Online’s native rec is two-way. Intuit’s reconcile help, updated 2026-08-05, matches the register to the bank statement until the Difference is $0.00. That is bank versus books. It is not the sum of every owner ledger and every tenant security-deposit ledger. How to reconcile a property management trust account in QuickBooks Online is that click path if the CPA also keeps the trust bank there.
On r/Bookkeeping in February 2025, the advice to a firm that wanted to pick one system was to keep AppFolio for the property-management side and QuickBooks for the corporate books, where management-fee income and payroll land. On r/appfolio in July 2023, an office that had moved the doors into AppFolio still kept payroll and primary office expense in QuickBooks, “even tho Appfolio could handle it fine.” Connecting the two was “a manual process with spreadsheets to transfer.”
That is the usual stack. AppFolio holds owner money. QuickBooks holds the firm. The bridge is the management-fee transfer, not every rent batch.
There is no AppFolio QuickBooks button
AppFolio is not a QuickBooks add-on. There is no Connect to QuickBooks walkthrough on AppFolio’s pricing or accounting pages.
AppFolio’s BK Management customer story is that fact in their own words. Accounting Manager April Schuette said they used QuickBooks for corporate accounting and AppFolio for property-management accounting, “and there was just no integration whatsoever.” They ran one set of reports out of each system and tried to marry them. The office later moved corporate accounting into AppFolio.
Does AppFolio Basic have an API? is the plan question. Core has no API. Plus lists a read-only API. Max lists a read/write API. A vendor that asks for a Client ID has nothing to attach to on Core. How to export AppFolio data to QuickBooks is the month-end path: download the general ledger, owner ledgers and deposit reports as of the statement date, then post a summary journal, or hand the CPA the files.
On r/Bookkeeping in July 2024, an office on AppFolio and QuickBooks wrote that they entered invoices and rent twice and paid them twice. Dual full books is the failure mode. QuickBooks income far above the management fee is the tell: rent posted as sales.
Four ways offices actually keep the books
1. Close the doors in AppFolio only
Right answer when the books already close in AppFolio and the CPA will work from the AppFolio general ledger, owner ledgers, signed three-way rec and owner statements. Skip QuickBooks for the doors. You still need somewhere to run payroll and office bills. Ask the CPA whether that somewhere has to be QuickBooks.
AppFolio’s BSG Enterprises story is one office that ran both systems in parallel, called it “horrible,” then left QuickBooks after the accountant said the two files matched. That path only works if your CPA will open AppFolio at tax time.
2. AppFolio for owners, QuickBooks for the firm
Right answer for most 50-to-300-door offices. Rec the trust account in AppFolio. Send owner statements from AppFolio. Transfer the earned management fee to operating. In QuickBooks, record that fee as income, rec the operating account, and keep payroll and office costs there. Do not import every rent receipt as a QuickBooks invoice.
3. Move the company books into AppFolio Corporate Accounting
AppFolio’s accounting page, read 2026-10-14, sells Corporate Accounting as a way to bring the management company’s books onto the same platform, “so nothing lives in a separate system or spreadsheet.” The HOA financials page describes a separate chart of accounts, payables and receivables, and bills between corporate and property books. Ask the quote which plan includes it. Ask the CPA whether they will log into AppFolio. If they will not, you still have QuickBooks.
4. Keep AppFolio as the books, and post only a monthly summary
Stay on Core. Run the general ledger, owner ledgers and deposit reports as of the statement date. Post a summary journal into QuickBooks for cash, owner funds, security deposits and the earned fee, or email the packet. Some offices hire that month-end out. We make Propfina, which does this, so weigh that suggestion accordingly. Ask whether a tool writes back to AppFolio (it should not), whether QuickBooks posting can be undone, and whether it still works when the plan has no API.
How to tell this week
You do not need QuickBooks for the doors when last month’s owner statements went out of AppFolio, the Triple Tie Out closed there, and the CPA is willing to work from that packet.
You still need QuickBooks when payroll runs there, office bills never touch AppFolio, or the CPA will only open a QuickBooks file.
You have too much QuickBooks when rent is booked as sales, invoices are entered twice, and the two files disagree after both recs finish.
Pull last month’s AppFolio general ledger and owner-ledger exports, the deposit or receipts report, the trust-account bank statement, and the operating P&L if you already keep QuickBooks. Start with those files. They already show which job is still open.
Frequently asked questions
Can AppFolio replace QuickBooks for owner statements and the trust rec?
Yes. Core includes Property Accounting and Reports. AppFolio's June 16, 2026 KPI post calls the monthly job a Triple Tie Out of owners, banks and the general ledger. Owner statements and the owner portal live there. QuickBooks Online has no native owner statement and its rec is two-way.
Does AppFolio sync with QuickBooks Online?
No. AppFolio's BK Management story says they used QuickBooks for corporate accounting and AppFolio for property-management accounting, and there was just no integration whatsoever. Core has no API. Plus lists a read-only API and Max a read/write API. Export the reports. Do not expect a Connect button.
Should I enter rent in both AppFolio and QuickBooks?
No. Rent in a trust account is money you hold for an owner, not company sales. Dual full books is the usual failure: invoices and rent posted twice, then the two files never match. Keep owner ledgers in AppFolio. Post only the management-fee transfer into QuickBooks.
Can the management company's books live in AppFolio instead of QuickBooks?
AppFolio sells Corporate Accounting as a way to keep the firm's books on the same platform, with a separate chart of accounts. Some offices do this. Many CPAs still open QuickBooks for payroll, office bills and tax. Ask your CPA whether they will work from AppFolio before you cancel QuickBooks.
