AppFolio vs QuickBooks: which should a small property management company use for its accounting?
By the Propfina team · Published · Updated
Use AppFolio for the doors: tenant ledgers, the three-way trust rec, and owner statements. Keep QuickBooks Online for the management company’s payroll, operating expenses, and tax. Most 50-to-300-door offices already run both. A single system fits when the CPA will open AppFolio, or when the office holds no owner money in trust.
This is for a small property-management office, often under 250 doors, that already runs AppFolio or QuickBooks and is choosing which product is the books.
Which product wins which job
Trust accounting holds other people’s money. Company bookkeeping tracks what the firm earned. AppFolio is the property-management ledger. QuickBooks Online is the file most CPAs already open.
Peter Lohmann, who runs a property-management company, wrote the same split on X on 2026-10-08: trust accounting lives in AppFolio, Rentvine, or Buildium; corporate accounting lives in QuickBooks or Xero. On r/Bookkeeping in February 2025, the advice to a firm that wanted one system was the same stack, with management-fee income and payroll in QuickBooks.
| Job | AppFolio | QuickBooks Online |
|---|---|---|
| Cost | Core from $1.49 per unit per month. 50-unit minimum and a minimum spend. Quote is the bill. Read 2026-11-02. | Plus $140 per month list. Advanced $340. 50 percent intro for three months on that day. Read 2026-11-02. |
| Works without an API | Yes for the rec and statements. Core has no API. Plus is read-only. Max is read/write. | Yes. The product is the books. |
| Who ties out the trust account | You, in AppFolio. Triple Tie Out of owners, banks, and the general ledger, monthly. | Two-way rec of bank versus register until Difference is $0.00. |
| When owners get statements | From AppFolio. Owners can log into the owner portal. | No native owner statement. Rebuild from exports. |
| What it does to the books | Owner ledgers, tenant deposits, trust bank, owner draws. | Company P&L, payroll, office bills, tax file the CPA opens. |
| Native live sync between the two | No. BK Management story. No integration whatsoever. | No Connect button on AppFolio’s side. Export the reports. |
AppFolio wins owner money. QuickBooks wins the company file. QuickBooks also wins a printed monthly price with no unit floor. AppFolio wins the in-app rec on Core. That job runs without an API.
AppFolio
AppFolio’s pricing page, read 2026-11-02, lists Core, Plus, and Max. Core prints starting at $1.49 per unit per month. The footnote is a 50-unit minimum and a minimum spend. Plus starts at $3.20. Max starts at $5.00. Multiplying 50 by $1.49 is not the invoice. How much AppFolio costs is the quote.
Core includes Property Accounting and Reports. Owner ledgers, owner statements, and the trust rec live there. AppFolio on 2026-06-16 calls the monthly job a Triple Tie Out of owners, banks, and the general ledger, and says to rec it monthly, 100 percent of the time. That job does not need an API. Does AppFolio Basic have an API? is the plan question. Core has no API. Plus lists a read-only API. Max lists a read/write API. How to do a three-way trust account reconciliation is that packet. Owners also log into the owner portal and pull their own statement.
AppFolio’s guide for portfolios under 250 units, dated 2026-10-19, lists multi-property accounting as one of six PM capabilities. It says spreadsheets and general-purpose bookkeeping tools break down once a portfolio spans multiple owners. That is the trust job. A small-portfolio write-up dated 2025-12-05 says there is no need for separate QuickBooks files. That holds for the doors.
AppFolio sells Corporate Accounting so the firm’s books can sit on the same platform. Ask the quote which plan includes it, and whether your CPA will open AppFolio at tax time. AppFolio’s own BK Management customer story is the missing-sync caveat in their words. Accounting Manager April Schuette said they used QuickBooks for corporate accounting and AppFolio for property-management accounting, “and there was just no integration whatsoever.” They ran one set of reports out of each system and tried to marry them, then moved corporate accounting into AppFolio.
AppFolio wins a 50-to-300-door office that wants one system of record for owners, tenants, and the rec. It stops at the unpublished minimum spend, the 50-unit gate, and the missing QuickBooks button. If the CPA will not log in, you still have a company file to keep.
QuickBooks Online
Intuit’s pricing, read 2026-11-02, lists Simple Start at $38 a month, Essentials at $85, Plus at $140, and Advanced at $340, each with a 50 percent intro for three months on that day. A Free plan at $0 a month sits on the same page, with no accountant access. Plus is the plan most offices mean: five users, class tracking, two accountant seats.
QuickBooks wins the two-way rec and the corporate P&L. Intuit’s reconcile help, updated 2026-08-05, matches the register to the bank statement until the Difference is $0.00. That is bank versus books. The third number, the sum of every owner ledger and every tenant security-deposit ledger, still lives in AppFolio.
QuickBooks has no owner ledger, no tenant security-deposit ledger, and no native owner statement. Classes on Plus, up to 40 combined with locations, can split a P&L by property. How to create owner statements in QuickBooks is the rebuild if you try anyway. Book the management fee as income after it leaves trust. Rent in the trust account stays on the owner ledger.
On r/appfolio in July 2023, an office that had moved the doors into AppFolio still kept payroll and primary office expense in QuickBooks. Connecting the two was “a manual process with spreadsheets to transfer.” On r/PropertyManagement in July 2024, a 400-unit office with 19 owners wrote they use QuickBooks for accounting and AppFolio for management, and they reconcile twice.
QuickBooks wins because the CPA already lives there, the monthly price is printed, and there is no 50-unit gate. It stops at owner money. Keystone Property Accounting, writing on 2026-06-15, said QuickBooks Online cannot run trust on its own, and that a PM firm on QBO alone past about 30 units becomes a spreadsheet exercise. Treat that 30-door line as their field note, not a measured cutoff.
What most small PM firms actually run
A 50-to-300-door office already paid for the trust books if it is on AppFolio. Close the month there. Send owner statements from those ledgers. Keep QuickBooks for payroll, operating costs, and tax. The bridge is the management-fee transfer.
| Office | Stack | Why |
|---|---|---|
| 50-to-300 doors, CPA in QuickBooks | AppFolio for owners, QuickBooks for the firm | Usual stack. Rec in AppFolio. Fee in QuickBooks. |
| CPA will log into AppFolio | AppFolio, including Corporate Accounting | One system of record. Confirm on the quote. |
| No owner money in trust, a few dozen doors | QuickBooks Online | No third ledger to rec. |
| Already on Core, month-end is the gap | Stay on both. Close from the exports. | Core still downloads the GL and owner ledgers. |
On r/Bookkeeping in July 2024, an office on both systems wrote that they entered invoices and rent twice and paid them twice. Dual full books is the failure mode. QuickBooks income far above the management fee is the tell: rent posted as sales.
Do I need QuickBooks if I use AppFolio? is the already-on-AppFolio version of this question. How to export AppFolio data to QuickBooks is the month-end path: download the general ledger, owner ledgers, and deposit reports as of the statement date, then post a summary journal.
Some offices keep that stack and hire the month-end packet from the exports they already run. We make Propfina, which does this, so weigh that suggestion accordingly.
Rules vary by state. Colorado expects monthly three-way recs for property-management trust accounts, per the Division of Real Estate’s audit process, read 2026-11-02. This is not legal advice. Check your own state’s commission and your CPA.
How to tell this week
The stack is doing its job when last month’s adjusted bank, trust ledger, and the sum of owner and tenant ledgers agree to the cent in AppFolio, no owner ledger is negative, and the CPA’s QuickBooks file shows the management fee rather than the rent. You still need QuickBooks when payroll runs there or the CPA will only open that file. You have too much QuickBooks when rent is booked as sales and the two files disagree after both recs finish.
Open last month’s AppFolio general ledger and owner-ledger exports, the deposit or receipts report, the trust-account bank statement, and the operating P&L if you already keep QuickBooks. Start with those files. They already show which job is still done by hand.
Frequently asked questions
Can a small property management company run its accounting on QuickBooks Online alone?
Only if you hold no owner money in trust, or you rebuild owner ledgers by hand. QuickBooks Online reconciles a bank account to its register. That is two numbers. The third is the sum of every owner ledger and every tenant security-deposit ledger, which lives in AppFolio. Most 50-to-300-door offices keep both.
Does AppFolio replace QuickBooks for the company's payroll and tax return?
AppFolio sells Corporate Accounting so the firm's books can sit on the same platform. Some offices do this. Many CPAs still open QuickBooks for payroll, office bills, and tax. Paid QuickBooks Online plans include accountant access. Ask your CPA whether they will log into AppFolio before you cancel QuickBooks.
Does AppFolio connect to QuickBooks Online?
No. AppFolio's BK Management story says they used QuickBooks for corporate accounting and AppFolio for property-management accounting, and there was just no integration whatsoever. Core has no API. Plus lists a read-only API. Max lists a read/write API. Export the reports. There is no Connect button.
Should I post every rent receipt in both AppFolio and QuickBooks?
Keep owner ledgers in AppFolio. Post the management-fee transfer into QuickBooks. On r/Bookkeeping in July 2024, an office on both systems wrote that they entered invoices and rent twice and paid them twice. Dual full books is the usual failure. QuickBooks income far above the management fee is the tell.
How much does AppFolio cost next to QuickBooks Online for a 50-door office?
AppFolio's pricing page, read 2026-11-02, lists Core starting at $1.49 per unit per month with a 50-unit minimum and a minimum spend. The quote is the bill. QuickBooks Online Plus lists $140 a month, Advanced $340, each with a 50 percent intro for three months on that day. Price both on the same door count.
