Daxable alternatives?

By the Propfina team · Published · Updated

The alternatives to Daxable for a 50-to-300-door office are OJO at $34 an hour inside AppFolio, APM Help’s trust desk, REA from $499 a month, or TrustRecon rec-only at $199. Daxable still wins a $299 QuickBooks start.

This is the buy for an office that already exports the general ledger, owner ledgers and the trust-account bank statement, and is pricing Daxable’s QuickBooks close against a firm that posts inside AppFolio.

What Daxable actually sells

Daxable’s pricing page, read 2026-11-02, prints three starts. Industry bookkeeping from $299 a month: monthly rec, close, client-owned QuickBooks Online, management-use statements, and a year-end packet for your CPA. A dedicated Daxable team member from $1,500 a month: a Daxable-employed person with US management and an India-based back office. Controller and fractional CFO from $2,500 a month. Cleanup, tax work, legal work and attest sit outside those starts unless a proposal says otherwise.

Daxable’s bookkeeping page, read 2026-11-02, keeps the QuickBooks file in your name. Tax returns stay with your CPA. On its property-management page, also read 2026-11-02, it posts rent receipts, vendor bills, bank and trust recs and owner statements inside Buildium. For AppFolio it scopes work around client-provided reports and exports next to that same QuickBooks file. It writes that it is independent of AppFolio, with no partner listing or direct integration. Payment approvals stay with you unless a written authorization says otherwise. Trust-account compliance stays with the broker.

Do I need QuickBooks if I use AppFolio? is that system-of-record split. AppFolio already holds owner ledgers, the three-way rec and owner statements. AppFolio (June 16, 2026) calls the monthly job a Triple Tie Out of owners, banks and the general ledger. On r/Bookkeeping in February 2025, the replies on an AppFolio-to-QuickBooks client were to keep property books in AppFolio.

OJO Bookkeeping

OJO’s AppFolio page, read 2026-11-02, prints $34 an hour for ongoing bookkeeping, $45 for cleanup, a $300 monthly minimum, and a 50-unit floor. Official AppFolio and Buildium partner. The bookkeeper works inside your existing AppFolio account with their own login. Bank access is read-only. You still release every payment. OJO’s homepage says cancel anytime and a 30-day money-back guarantee. Hours times $34 is the bill. OJO’s services page says monthly three-way is the standard and daily recs are available. Daxable’s Buildium comparison, checked October 1, 2026, quotes the same $34 and $45.

On X in November 2023, one PM wrote they use OJO for a lot of AppFolio work and called it great value. Threads on r/AccountingPH discuss OJO as a Philippine hiring shop. Ask who sits on your books, and in which hours. OJO wins a printed rate and a login that cannot move money. If you need a fixed invoice before the month starts, get the estimator number in writing.

APM Help

APM Help’s cost article, dated September 1, 2026 and read 2026-11-02, prices Trust Bookkeeping per unit with a monthly minimum. Their example: a typical 300-door company on AppFolio pays about $3,900 a month, about $13 a door. Cleanup is a separate project.

APM Help’s Trust Bookkeeping page, read 2026-11-02, says online payables go to you or your eCheck approver as a batch, and a person on your team releases funds with a code. An APM Help article dated June 15, 2026 reports a 100 percent trust-account-audit pass rate since 2017. That is APM Help’s claim.

APM Help’s master services agreement, read 2026-11-02, sets a twelve-month initial term unless the accepted order says otherwise. A convenience termination during that term takes effect on or after month six, with two months’ written notice. Read the order.

On r/PropertyManagement in December 2024, one office at 75 doors wrote that APM Help would not take the call. Use APM Help’s $3,900 example and get a number on your database. APM Help wins daily recs and a per-door bill at a few hundred doors.

REA

REA’s AppFolio page, read 2026-11-02, is a certified AppFolio Stack partner. Property accountants work with accountant access inside your instance. They list 230-plus property accountants. That is REA’s figure. Scope includes trust and corporate books, bank recs, owner distributions, cleanup, 1099s and tax prep.

REA’s cost page, dated October 21, 2026 and read 2026-11-02, prints monthly bookkeeping for smaller portfolios from $499 a month, and a full back office from $2,500 a month. Final pricing is after a consult. They write that bank accounts, entities and trust funds move the quote more than door count.

REA wins Stack-partner access inside AppFolio and a tax team on the same roster. Ask whether the $499 start includes the three-way rec and owner statements for your doors.

TrustRecon

TrustRecon’s pricing, read 2026-11-02, prints $199 a month self-serve under about 300 doors, and $1,495 a month full service up to about 1,000 doors. You upload exports on self-serve. Full service adds a named contact. Cleanup is a fixed quote after a free audit. Cancel anytime, their claim. It works from read-only exports or a read-only API, never writes to your systems, and never touches money. Typical buyer, they write, is 100 to 3,000 doors on AppFolio or Buildium. Outsourced trust account reconciliation is that rec-only job.

TrustRecon wins a printed rec-only price. You still enter rent, bills and draws. Daxable’s $299 line is a full QuickBooks close. These are different invoices.

Propfina

We make Propfina, so weigh this entry accordingly. Software is $149 a month, up to 100 doors or 20 listings. Managed is $5 per door a month with a $400 minimum. It drafts the three-way rec and owner statements from AppFolio, Rentvine or Guesty exports, including AppFolio Basic, and never writes back. You approve any QuickBooks posting.

It does not post inside AppFolio or Buildium. It is not an AppFolio partner. It does not run daily recs, 1099s or tax returns. Daxable still wins the $299 QuickBooks close and in-Buildium posting. At capacity, not onboarding.

What most small PM firms actually run

Close the month in AppFolio, Buildium or Rentvine when the rec already ties and owners take the canned statement. How to do a three-way trust account reconciliation is that packet.

Price Daxable for a $299 QuickBooks close, a dedicated seat, or in-Buildium posting. Price OJO for hours inside AppFolio. Price APM Help for daily recs at a few hundred doors. Price REA for Stack-partner access and tax prep. Price TrustRecon when posting is current and the gap is the three-way packet.

Trust accounting is regulated and the rules differ by state. California’s Department of Real Estate wrote on October 6, 2026 that even if you hire a bookkeeper, the broker or designated officer is still responsible for complete records. Colorado expects monthly three-way recs (audit process, read 2026-11-02). This is not legal advice. Check your own state’s commission and your CPA.

How to tell this week

Walk last month’s three-way rec on a screen share. Confirm their login cannot release payments unless you said so. Confirm the rec, the owner-ledger export and two owner statements show the same ending balances.

Pull last month’s AppFolio owner-ledger export, the trust-account bank statement, two owner statements and the QuickBooks trial balance if you keep one. Sit with those four files for an afternoon. Write down which of them still disagree. That list is the job you are buying, whether the next invoice is Daxable’s $299 close or someone else’s login inside AppFolio.
