What accounting features does AppFolio have, including general ledger and trust accounting?

By the Propfina team · Published · Updated

AppFolio Core includes property accounting: a general ledger, owner and tenant ledgers, bank rec through Bank Feed, owner statements, and a monthly Triple Tie Out of owners, banks, and the general ledger. That is the trust job. Plus adds advanced budgeting. The company’s payroll and tax file often still live in QuickBooks.

This is for a small property-management office of about 50 to 300 doors on AppFolio, often Core, still called Basic, that already exports the general ledger and owner ledgers and wants a plain list of what the books in AppFolio actually do.

What Core already includes

AppFolio’s pricing page, read 2026-11-02, lists Core, Plus, and Max. Core’s first line is Property Accounting and Reports. AppFolio’s Form 10-K for the year ended December 31, 2025, filed February 5, 2026, calls Core a comprehensive system of record centered on accounting functionality.

The cards say Get a Quote. The same page’s product data lists Residential Core at $1.49 per unit a month with a 50-unit minimum, Plus at $3.20, and Max at $5.00. A minimum spend sits on the quote. What AppFolio costs is that quote.

Job On Core On Plus or Max
Property general ledger Yes. Customizable GL codes Same GL, plus advanced accounting on Plus
Owner and tenant ledgers Yes. Every posting needs a property Same
Bank rec through Bank Feed Yes. Plaid link, or upload a file Same. Accounting Performer rec is later, and only with Column
Triple Tie Out of owners, banks, and the GL Yes, monthly, in AppFolio Same
Owner statements and owner portal Yes Same
Trust Account Balance report Yes Same
1099-NEC support Yes Same
Export the GL, owner ledgers, and deposits Yes. Report Builder Same. Plus adds a read-only API. Max adds read/write
Advanced budgeting No Plus lists it
Accounting Performer, bill entry and financial close No Plus lists it. Max adds Performer budgeting
Native QuickBooks sync No No
Blocks a negative owner draw No No

AppFolio wins the in-app books. On its own ledgers, the rec works. Does AppFolio Basic have an API? is the plan question. Core has no API. You still export.

General ledger

The general ledger is the property books. Rent, vendor bills, security deposits, management fees, and owner draws all post to a GL account and a property. AppFolio’s BK Management story is the GL in their own words: Accounting Manager April Schuette said the GL codes are customizable, and that straightening the chart is how you get the reports you want.

APM Help, an AppFolio partner, wrote the chart on 2026-09-17. The list lives under Accounting, then GL Accounts. Security deposits, prepaid rent, and owner funds sit as liabilities. Management fees are an expense on the property chart. They become the firm’s income only after Pay Management Fees posts the bill and the cash leaves trust. Their May 4, 2026 trust-structure note says every transaction requires a property, so every dollar traces to an owner.

The GL report is the audit file. AppFolio’s November 4, 2025 year-end piece names the canned reports that pull from the same ledger: owner statements, income statements, cash-flow statements, and balance sheets. Report Builder (November 9, 2023) lets you add columns, then export or save the layout.

Do not book a rent deposit as company sales. Rent in trust raises the owner ledger. The firm’s income is the management fee after it leaves trust.

Trust accounting and the Triple Tie Out

Trust accounting in AppFolio is not a separate product line on the pricing cards. It is the property ledger plus the rec. AppFolio on June 16, 2026 calls the monthly job a Triple Tie Out of owners, banks, and the general ledger, and says to rec it monthly, 100 percent of the time.

How to do a three-way trust account reconciliation is that packet: adjusted bank, trust ledger, and the sum of every owner and tenant ledger, as of one cutoff.

AppFolio’s Bank Feed article (last modified 2024-02-05, read 2026-11-02) says Bank Feed pulls transactions through a bank integration or a file upload, auto-matches and clears them, and handles up to 80 to 90 percent automatically. The accounting product page, read 2026-11-02, names that Plaid link Auto Bank Reconciliation.

AppFolio’s July 1, 2024 trust-account post says the software should give you a Trust Account Balance report that can surface commingling and negative balances. On r/appfolio in February 2026, commenters said to run the Trust Account Balance report grouped by owner to see whose cash sits in the account. Confirm that total against the bank. APM Help’s May 4, 2026 note writes the in-app three-way as Statement Ending Balance matching Cleared Balance matching Adjusted Cash Balance from the property ledgers.

AppFolio does not block a negative owner ledger. On r/appfolio in June 2026, a write-up of the Pay Owners workflow said a repair bill paid before that owner’s rent posts lets the property borrow from the trust-account float. Colorado’s Division of Real Estate lists negative ledger balances among common violations and asks brokers for monthly three-way recs, journals, ledgers, and reconciled bank statements (audit process, read 2026-11-02). Rules vary by state. This is not legal advice. Check your own state’s commission and your CPA.

Peter Lohmann, who runs a property-management company, wrote the split on X on 2026-10-08: trust accounting lives in AppFolio, Rentvine, or Buildium. Corporate accounting lives in QuickBooks or Xero.

Owner statements and 1099s

Owner statements live in AppFolio. Owners log into the owner portal and pull their own packet. Do not rebuild the packet in Excel after the rec already closed.

Pay Management Fees posts the firm’s cut as a bill against the property. Pay Owners is the draw. AppFolio’s November 4, 2025 year-end article says the platform supports Form 1099-NEC for vendor earnings. Filing is still on you or your CPA.

What Plus adds, and what still lives outside

Plus, read 2026-11-02, adds Advanced Budgeting and Accounting, and Accounting Performer for bill entry and financial close. Max adds Accounting Performer budgeting and a read/write API. Core does not list those lines. AppFolio’s October 30, 2026 product update says Performer reconciliation is coming in Q1 2027 for Column bank accounts. Treat that rec as not here yet.

Corporate Accounting is the optional move of the management company’s books onto the same platform. AppFolio’s small-portfolio write-up (December 5, 2025) says built-in accounting tailored to property management, “no need for separate QuickBooks files.” That holds for the doors. It does not hold for every CPA.

AppFolio’s BK Management story is the missing-sync caveat in their words: they used QuickBooks for corporate accounting and AppFolio for property-management accounting, “and there was just no integration whatsoever.” Do I need QuickBooks if I use AppFolio? is that split. How to export AppFolio data to QuickBooks is the month-end path if the CPA still wants a file: download the general ledger, owner ledgers, and deposit reports as of the statement date, then post a summary journal.

On r/appfolio in July 2023, an office that had moved the doors into AppFolio still kept payroll and primary office expense in QuickBooks. AppFolio wins owner money. QuickBooks wins the company file most CPAs already open.

Some offices stay on Core, close the Triple Tie Out there, and hire the QuickBooks packet from those same exports. We make Propfina, which does this, so weigh that suggestion accordingly. Ask whether a tool writes back to AppFolio (it should not), whether QuickBooks posting can be undone, and whether it still works when the plan has no API.

How to tell this week

The accounting features are doing their job when last month’s adjusted bank, trust ledger, and the sum of owner and tenant ledgers agree to the cent in AppFolio, no owner ledger is negative, owner statements went out of those ledgers, and the CPA’s file shows the management fee.

You still need QuickBooks when payroll runs there or the CPA will only open that file. You have too much QuickBooks when rent is booked as sales. You are on Core, without the Performer or the API, when the invoice does not say Plus or Max.

Pull last month’s AppFolio general ledger and owner-ledger exports, the Trust Account Balance report, the deposit or receipts report, and the trust-account bank statement. Start with those files. They already show which job is still done by hand.

Frequently asked questions

Does AppFolio Core include a general ledger?

Yes. AppFolio's 2025 10-K, filed February 5, 2026, calls Core a system of record centered on accounting. The pricing page, read 2026-11-02, puts Property Accounting and Reports on Core. You post every receipt, bill, and draw to a GL account and a property. Export the GL as of the bank-statement date.

Does AppFolio do three-way trust accounting?

Yes, in AppFolio. Their June 16, 2026 KPI post calls the monthly job a Triple Tie Out of owners, banks, and the general ledger, 100 percent of the time. Bank Feed matches bank lines to records. The Trust Account Balance report shows cash by owner and property. Someone still has to pick the cutoff and refuse a negative draw.

Does AppFolio replace QuickBooks for the company's payroll and tax return?

AppFolio sells Corporate Accounting so the firm's books can sit on the same platform. Some offices do this. Many CPAs still open QuickBooks for payroll, office bills, and tax. AppFolio's BK Management story says there was no integration whatsoever between the two. Ask your CPA before you cancel QuickBooks.

Does AppFolio stop you from paying an owner whose ledger is negative?

No. On r/appfolio in June 2026, a write-up of owner distributions said AppFolio does not block a negative owner ledger. A repair bill paid before that owner's rent posts borrows from the trust-account float. Hold that owner's draw until the ledger is whole. Check your state's commission and your CPA.

Which AppFolio plan has the Accounting Performer?

Plus, read 2026-11-02, lists Accounting Performer for bill entry and financial close. Max adds Accounting Performer budgeting. Core does not list it. AppFolio's October 30, 2026 product update says Performer reconciliation is coming in Q1 2027 for Column bank accounts, at no extra cost for those accounts.
