How to use the QuickBooks export in Rentvine for QuickBooks Online?

By the Propfina team · Published · Updated

Turn on Rentvine’s QuickBooks export, map each management-fee account to a matching Product and Service, export the Money Out payment as a CSV, then import that file as invoices in QuickBooks Online. The export is company income leaving trust. Keep owner ledgers in Rentvine.

This is the month-end path for a small property-management office on Rentvine, about 50 to 300 doors, that already closes the trust account there and keeps QuickBooks Online because the CPA already works in it.

What you are moving

The native export is a CSV of invoices. The general ledger stays in Rentvine.

File Where What it is for
CSV from a Money Out payment Rentvine, Accounting, Money Out, Payments Management-fee invoices to import
Products and Services QuickBooks Online Names that must match the Rentvine service names
Operating-account bank statement The bank The fee payout that should Match those invoices
Owner ledgers and three-way rec Rentvine, same cutoff Stay here. The export leaves them in place

Does Rentvine integrate with QuickBooks Online? is the live-sync question. This page is the click path for the CSV that help actually documents.

On X in October 2026, Peter Lohmann split the work into trust accounting in AppFolio, Rent Manager, Buildium or Rentvine, and corporate accounting in QuickBooks or Xero. The export only feeds the corporate file.

What the native export is

Rentvine’s property-management software page, read 2026-11-02, lists QuickBooks for corporate accounting workflows. Its integrations page names QuickBooks the same way it names Plaid or Slack, with no Connect to QuickBooks walkthrough. A search of Intuit’s app directory on 2026-11-02 did not turn up a Rentvine listing.

A July 2026 Rentvine write-up on trust accounting says it integrates with QuickBooks for companies that need that connection, and the trust accounting itself runs in Rentvine. Rentvine’s August 2024 social copy called that a seamless integration. The help article is a CSV. On r/PropertyManagement in March 2026, offices were still hiring people who already know both Rentvine and QuickBooks for escrow mismatches, daily rec, owner statements and management fees.

Turn the export on once

Rentvine’s help article How To Utilize Quickbooks Export In Rentvine, dated August 26, 2026, is the native path. The same toggle also works with Xero.

  1. Go to Settings, then Account Manager under the Account section.
  2. At the bottom, open QuickBooks Information.
  3. Toggle Quickbooks Export Enabled on.
  4. Set Quickbooks Customer Name to the same company name that sits in QuickBooks. Rentvine’s example is typing 123PM when that is the company name in QuickBooks.

Create that customer in QuickBooks first if it is missing. You can also enable the export on a vendor contact. Most small offices only need the management-company toggle.

Map service names before you export

In Rentvine, go to Settings, Chart of Accounts. Open each account you plan to export. Each one has a Quickbooks Service Name (for exports) field. Rentvine’s chart-of-accounts help, read 2026-11-02, says to add a service name on the accounts you plan to export, typically the ones used to collect property-management fees, and to make that name identical to the Product and Service in QuickBooks.

In QuickBooks Online, add those items first. Intuit’s products-and-services help, updated 2026-05-26:

  1. Go to All apps, then Sales & Get Paid, then Products & services.
  2. From New, select Service.
  3. Enter the same Name you typed in Rentvine, character for character.
  4. Point the income account at management-fee income.
  5. Save.

Map management fees, late fees the firm keeps, and leasing fees the firm keeps. Leave rent, security deposits and owner draws unmapped. Those stay on the Rentvine ledgers.

Export the Money Out payment

Export the payment that paid the management company. Skip a vendor bill paid for an owner.

Rentvine’s accounting page, read 2026-11-02, describes a manager’s ledger that separates earned fees from client funds, then a payout to the business account. That payout is the payment you export.

  1. Open Accounting, then Money Out, then the Payments tab.
  2. Open the payment you want in QuickBooks.
  3. Use the green Actions menu and run the QuickBooks export. Rentvine’s help says that export produces a CSV you import into QuickBooks as an invoice.

That CSV is company income leaving trust. How to split Rentvine deposit batches by property in QuickBooks is the deposit job. Property-management bookkeeping is the rent-versus-fee split.

Import the CSV as invoices in QuickBooks Online

Intuit’s invoice-import help, updated 2026-10-01, is the click path.

  1. Confirm the customer and every Product and Service already exist.
  2. Go to Settings, then Import data, then Invoices.
  3. Upload the CSV. Map columns to Invoice number, Customer, Invoice date, Due date and Item amount.
  4. Review the summary, then Start import.

Intuit’s limits, from that same page: 100 invoices per run, 1,000 rows, no negative lines. If sales tax is turned on in the QuickBooks company, invoice import is blocked. If a Product and Service is missing, QuickBooks fills a generic item called sales. Keep the Rentvine general ledger out of the bank-file importer.

Match the fee deposit on the operating bank

The payout already hit the operating account. If that bank is connected, go to All apps, Accounting, Bank transactions and take Match to the invoices. Intuit’s categorize help, updated 2026-08-24, treats Post or Add as a new ledger entry. Categorize on a fee payout that already sits in an invoice records the cash twice.

If the feed will not Match, record the payment first. Intuit’s receive-payment help, updated 2026-08-03: + Create, Receive payment, the same customer name you set in Rentvine, tick the imported invoices, Deposit to the operating bank, then Match.

How to reconcile a property management trust account in QuickBooks Online is the two-way rec if the CPA also keeps the trust bank in QuickBooks. The third number is still the Rentvine ledgers. How to do a three-way trust account reconciliation is that packet.

What stays out of this export

Thing Native QuickBooks export
Live Rentvine to QuickBooks Online connector Rentvine ships a CSV
Every rent receipt as a QuickBooks invoice That books trust money as income
Owner ledgers and owner statements They stay in Rentvine
Three-way rec of bank, trust ledger, and owner and tenant ledgers That rec runs in Rentvine
A Rentvine deposit batch That is a Bank Deposit in QuickBooks
Operating bills, payroll, software, office rent Enter those in QuickBooks

Rentvine’s help on credit-card spend off the trust bank, dated August 28, 2026, offers tracking the card in a corporate accounting platform, QuickBooks, and warns that recording corporate accounting inside Rentvine can lead to commingling.

Qwickbridge Sync, read 2026-11-02, advertises a real-time Rentvine-to-QuickBooks connection. That page does not publish a price or say whether rent posts as sales. Ask what a tool writes, and whether the three-way rec still closes in Rentvine, before you pay.

When the two books still disagree

Work Rentvine-to-bank first, then the fee file into QuickBooks.

Symptom Likely cause What to do
QuickBooks income is far higher than the management fee Rent posted as sales Reverse it. Rent is a liability until it is the owner’s
Import lands on a generic sales item Product and Service missing or spelled differently Create the Service with the identical name, then import again
Import is blocked Sales tax is on in that QuickBooks company Enter the invoices by hand, or ask the CPA about tax settings
Operating bank in QuickBooks is twice the statement Invoice plus Categorize on the same payout Match the feed. Skip Post
Owner funds do not equal the owner-ledger export Cutoff mismatch, or a draw posted in one system only Re-export ledgers to the statement date. The CSV left those ledgers in Rentvine
Deposit batch will not Match after this import Wrong file. This CSV is Money Out Build a Bank Deposit from the Rentvine batch

Compare QuickBooks management-fee income to the Rentvine manager’s-ledger payout on that same date. The three-way rec still has to close in Rentvine.

How to tell this month is closed

Rentvine’s Account Manager shows the export enabled. Every exported account has a service name that matches a Product and Service identically. Last month’s management-fee invoices imported without a generic sales item. The operating-bank fee lump is Matched. QuickBooks income equals the management fee. The trust rec still closed in Rentvine.

Open last month’s Money Out payment that paid the management company, the CSV that export produced, the operating-bank statement the payout landed on, and the Rentvine three-way rec for the same cutoff. Work those four. They already exist.

Frequently asked questions

What does the Rentvine QuickBooks export actually include?

Rentvine's help, dated August 26, 2026, says the export produces a CSV from a Money Out payment that you import into QuickBooks as an invoice. Map each chart-of-accounts line to a QuickBooks Service Name that matches a Product and Service identically. The accounts you typically map are the ones used to collect management fees.

Should I export every rent receipt as a QuickBooks invoice?

The native export is company income leaving trust. Rent in a trust account is money you hold for an owner. Booking rent as a QuickBooks invoice records trust money as sales and skips the Rentvine owner ledgers. Leave rent, deposits and owner draws unmapped.

Why did QuickBooks import my Rentvine fees as a generic sales item?

Intuit's invoice-import help, updated 2026-10-01, fills a generic item called sales when a Product and Service is missing. Create each Rentvine QuickBooks Service Name as a Service in QuickBooks first, with the name identical, then import again.

Can I import the Rentvine CSV if sales tax is on in QuickBooks Online?

Intuit's invoice-import help, updated 2026-10-01, says if sales tax is turned on in the QuickBooks company, invoice import is blocked. Enter those invoices by hand, or ask your CPA whether sales tax belongs on in that company file.

Do I still run the three-way rec in Rentvine after the export?

Yes. Rentvine's July 2026 trust-accounting write-up says the trust accounting itself runs in Rentvine. QuickBooks Online's native rec is two-way. Owner statements also live in Rentvine. The export only puts the firm's fee income on the company file.
