How to split Rentvine deposit batches by property in QuickBooks?

By the Propfina team · Published · Updated

Build one QuickBooks Online Bank Deposit for each Rentvine deposit batch so the total equals the bank lump, with an Add-funds line per property. Then Match the bank feed. Do not Categorize the lump as rental income, and do not make a deposit per door.

This is the click path for a small property-management office on Rentvine, about 50 to 300 doors, that already batches receipts there and keeps QuickBooks Online because the CPA already works in it.

What you are matching

The bank shows one number. Rentvine already knows which doors sit inside it.

List Where What it shows
Deposit or settlement Rentvine, Accounting, Banking The batch whose total should equal the bank
Receipts inside that batch That deposit Which property, owner, and GL each dollar hit
Trust-account bank statement The bank One ACH or teller lump, often a day later
Bank feed QuickBooks Online, Bank transactions The same lump, waiting to Match or Post

Rentvine’s monthly workflow (August 26, 2026) records portal payments as settlements automatically. Cash, checks and money orders you take to the bank are a deposit you record yourself. Rentvine’s API (read 2026-10-12) groups payments and bulk payments into one deposited amount you reconcile to the bank.

Does Rentvine integrate with QuickBooks Online? is the fee-export question. That CSV is Money Out invoices, not this batch.

Pull the Rentvine batch first

Do this in Rentvine before you touch the bank feed. Pick the bank-statement date. The usual miss is matching a receipt date to a deposit that landed the next business day.

  1. Open Accounting, then Banking.
  2. Open the trust bank the lump hit.
  3. Find the deposit or settlement whose total equals the bank line.
  4. Open the receipts inside it. Note property, rent versus security deposit, and any fee that never hit the bank.
  5. Memo that deposit number. You will put it on the QuickBooks deposit.

Portal ACH is already batched. Manual receipts sit undeposited until you record the deposit. If the settlement is smaller than the receipts, put the processor fee on the QuickBooks deposit. Do not edit Rentvine receipts to force a match.

Split the batch on one Bank Deposit

Rent in a trust account is money you hold for an owner, not sales. Texas treats rent and security deposits as trust money and bars a personal or operating account (22 Tex. Admin. Code § 535.146, read 2026-10-12). Other states differ. Check yours and your CPA. Property-management bookkeeping is that split.

Intuit’s record bank deposits help, updated 2026-08-03, is one Bank Deposit per bank slip.

  1. Select + Create, then Bank Deposit.
  2. Choose the trust bank. Date it to the bank date, not the receipt date.
  3. Skip Undeposited Funds unless those receipts already exist as sales receipts in QuickBooks. Tenants paid into Rentvine.
  4. Scroll to Add funds to this deposit.
  5. One line per property share, to owner funds (Other Current Liabilities, Intuit’s retainer setup, updated 2026-08-04). Class the line if you use classes.
  6. A security deposit in the same batch goes to security-deposits-held. How to account for security deposits in QuickBooks is that liability.
  7. A processor or bank fee as a negative amount to bank charges. Intuit’s example is a $0.50 fee entered as –.50.
  8. The deposit total must equal the bank line to the cent. Memo the Rentvine deposit number. Save.

Example, not a real office. 14 Maple rent $1,850, 22 Oak rent $1,400, 8 Pine security deposit $1,200, ACH fee −$4.25. Deposit $4,445.75. A management fee you take later is not a line on this deposit.

On r/QuickBooks in July 2022, a landlord with Venmo bundling several rents had to recreate one deposit that equaled the bank.

Match the bank feed

Go to All apps, Accounting, Bank transactions. Open the trust bank. Find the lump.

If QuickBooks offers Match to the deposit you just saved, take Match. Intuit’s categorize help, updated 2026-08-24, treats Post or Add as a new ledger entry. Categorize on a rent batch already in the register records the cash twice.

If nothing is in the register yet, Split the Pending line into the same accounts until Difference is $0.00, then Post. Do not Split a line you already deposited. Turn off any bank rule that auto-adds that lump to income.

How to reconcile a property management trust account in QuickBooks Online is the two-way rec after these deposits are in. The third number is still the Rentvine ledgers. How to do a three-way trust account reconciliation is that packet.

Classes are a tag, not a ledger

A class on each Add-funds line is how QuickBooks reports the split by property. It is not an owner ledger.

Intuit’s class help, updated 2026-08-03, is Plus or Advanced only. Simple Start and Essentials have none. Intuit usage limits, updated 2026-08-05, cap Plus at 40 combined classes and locations. Advanced removes the cap. Class per owner if the CPA wants a tag. Keep property ledgers in Rentvine. A class has no floor, so an owner can go negative and the two-way rec still finishes.

Turn class tracking on under Settings, Account and settings, Advanced, Categories, then assign one class per Add-funds row.

When the lists still disagree

Work Rentvine-to-bank first, then bank-to-QuickBooks.

Symptom Likely cause What to do
Bank is smaller than the receipts Processor fee, or money out in the same settlement Negative fee line on the deposit
Bank line has no matching deposit ACH lag, or still undeposited in Rentvine Wait until Rentvine shows the settlement
QuickBooks income is the bank total Categorize on the feed Reverse it. Match the split deposit
One owner ledger is short, the three-way still ties Rent applied to the wrong door Re-split from the Rentvine receipts
Plus will not add another class 40 combined classes and locations Class per owner, or leave the split in Rentvine
Deposit per door will not Match Each door is a different amount than the lump One Bank Deposit. Lines, not extra deposits

Matching totals can still hide a swap. Rent for 14 Maple posted to 22 Oak leaves both owner statements wrong. Spot-check a few doors.

What never gets its own deposit

Thing Own QuickBooks deposit?
One property already in the batch No. Add-funds line on that deposit
Processor or bank fee No. Negative line on the same deposit
Security deposit in the same lump Same deposit, as security-deposits-held
Typed deposit for the bank total, as income No. That is a second copy of the cash
Rentvine QuickBooks CSV of fee invoices No. That file is Money Out
A QuickBooks invoice per tenant for the rent No. That books trust money as sales

Rentvine already grouped the receipts and allocated them by property. QuickBooks Online wins the two-way rec your CPA already knows.

What the software already does

Rentvine wins property-level allocation on its own ledgers. QuickBooks Online wins the CPA file.

Rentvine’s trust-accounting write-up (July 2026) says it integrates with QuickBooks when you need that connection, but trust accounting runs in Rentvine. Rentvine’s trust-accounting page (read 2026-10-12) describes a 3-way tie of bank, trust ledger, and property ledgers.

Someone still has to pick the batch that equals the bank, refuse Categorize, and keep rent off income.

How to tell this week is closed

Every trust-bank lump is Matched to a deposit that equals the statement to the cent. Each deposit’s Add-funds lines match the Rentvine receipts by property. Rent sat in owner funds, not income. Security deposits sat on their own liability.

Pull last month’s Rentvine deposit or settlement that equals the bank lump, the receipts inside it, and the trust-account bank statement. Start with those three files. They already exist.

Frequently asked questions

Should I Categorize the Rentvine bank-feed lump as rental income?

No. Categorize or Post records a new ledger entry. Build one Bank Deposit that splits the batch by property, then take Match. Intuit's categorize help, updated 2026-08-24, treats Post as a new entry. Categorize on a rent batch already in the register records the cash twice and books trust money as sales.

Why doesn't a QuickBooks deposit per property Match the bank feed?

The bank recorded one lump. Rentvine already grouped those receipts into one deposit or settlement. A QuickBooks deposit per door is a different amount, so Match never fires. Intuit's bank-deposit help, updated 2026-08-03, is one Bank Deposit per bank slip. Split the properties as Add-funds lines on that one deposit.

Do QuickBooks classes replace Rentvine owner ledgers?

No. Classes tag a line for reporting. They have no floor, so an owner can go negative with no warning. Plus allows 40 combined classes and locations. Simple Start and Essentials have none. Keep owner ledgers in Rentvine, then prove the totals against QuickBooks.

Should I put Rentvine ACH receipts in Undeposited Funds first?

Only if you already recorded those receipts as sales receipts or invoice payments in QuickBooks. Portal ACH never hit you as a customer payment. Skip Undeposited Funds and use Add funds on one Bank Deposit. Using both records the cash twice.
