Buildium vs AppFolio vs QuickBooks vs Rentec Direct: which is best for a small property manager?

By the Propfina team · Published · Updated

Buildium, AppFolio, and Rentec Direct PM win owner ledgers, the three-way trust rec, and owner statements. QuickBooks Online wins the company file the CPA already opens. Pick by door count and whether you hold owner money. Most 50-to-300-door offices run a PM platform plus QuickBooks.

This is the buy for a small property-management office choosing a system of record for owner money.

Which product wins which job

Trust accounting holds other people’s money. Company bookkeeping tracks what the firm earned. Buildium, AppFolio, and Rentec PM are property-management ledgers. QuickBooks Online is the file most CPAs already open.

Peter Lohmann, who runs a property-management company, wrote the split on X on 2026-10-08: trust accounting lives in AppFolio, Rentvine, or Buildium. Corporate accounting lives in QuickBooks or Xero.

Prices below are from each vendor’s own pricing page, read 2026-11-03.

AppFolio wins the 50-to-300-door office that wants one system of record. Buildium wins a printed start price and no 50-unit gate. Rentec PM wins a printed per-unit rate with trust accounting and no contract. QuickBooks wins the CPA’s file.

Buildium

Buildium’s pricing, read 2026-11-03, prints a number. Essential starts at $65 a month with basic accounting and standard reporting. Growth starts at $202. Premium starts at $420 and adds an Open API. There is no 50-unit minimum on those cards. Bank-account setup is $99 per business account on Essential. Incoming EFT is $2.35 on Essential, $1.35 on Growth.

Buildium’s help has a Trust Reconciliation report built as the packet state boards ask for. Their trust-accounting guide dated 2025-12-08 walks a monthly three-way of bank statement, software balance, and the sum of client ledgers. How to do a three-way trust account reconciliation is that packet. Owner statements pull from the same ledger.

Buildium wins the office that wants a published start price, or that sits under AppFolio’s 50-unit gate. On r/PptyMgmtSoftware in May 2026, a demo write-up put Buildium with residential operators under 200 units. It stops at the company file. Payroll and the tax return still land in QuickBooks.

AppFolio

AppFolio’s pricing, read 2026-11-03, lists Core, Plus, and Max. Core prints starting at $1.49 per unit per month. The footnote is a 50-unit minimum and a minimum spend. Plus starts at $3.20. Max starts at $5.00. Multiplying 50 by $1.49 is not the invoice. How much AppFolio costs is the quote.

Core includes Property Accounting and Reports. Owner ledgers, owner statements, and the trust rec live there. AppFolio on 2026-06-16 calls the monthly job a Triple Tie Out of owners, banks, and the general ledger, 100 percent of the time. Core has no API. Plus is read-only. Max is read/write.

AppFolio sells Corporate Accounting so the firm’s books can sit on the same platform. Ask whether your CPA will open AppFolio at tax time. AppFolio’s BK Management story is the missing-sync caveat in their words: they used QuickBooks for corporate accounting and AppFolio for property-management accounting, “and there was just no integration whatsoever.”

AppFolio wins a 50-to-300-door office that wants one system of record. It stops at the unpublished minimum spend, the 50-unit gate, and the missing QuickBooks button. On r/USPropertyManagement in February 2026, offices under 50 doors called AppFolio overkill.

Rentec Direct

Rentec’s pricing and transparency page, read 2026-11-03, print the rate. Starter is $25 a month for up to 10 properties. Pro is $2 per unit per month with a $50 monthly minimum. PM is $2.50 per unit per month with the same $50 floor. No setup fee, no term. A 50-door PM book is $125 a month on the per-unit line. A 20-door PM book sits on the $50 floor.

Trust accounting is a plan question. Trust Account Management and Reporting, the owner portal, and pay-owners ACH sit on PM only. Starter and Pro skip those lines. Help dated 2026-02-02, Audit Assistance and Three-Way Reconciliation, writes the formula as bank balance equals book balance equals the sum of client ledgers. Owner Statement A and B are PM reports.

Pro and PM list “Synchronize Data with Quickbooks.” The help article dated 2026-08-14 is a CSV export of Account Ledger B, then an import into QuickBooks. Starter skips that export. Open API sits on Pro and PM.

Rentec PM wins the office that wants a printed per-unit rate, trust accounting, and a two-week trial with no sales call. A landlord on X managing 25 units, GenZ Multi Family on 2026-08-14, wrote that Rentec Direct “works great for me.” On r/PropertyManagement in March 2023, a manager who had used Rentec, AppFolio, and Buildium called Rentec’s UI basic. Price the PM plan if you hold owner money. It stops at the company file.

QuickBooks Online

Intuit’s pricing, read 2026-11-03, lists Simple Start at $38 a month, Essentials at $85, Plus at $140, and Advanced at $340, each with a 50 percent intro for three months on that day. Plus is the plan most offices mean.

QuickBooks wins the two-way rec and the corporate P&L. Intuit’s reconcile help, updated 2026-08-05, matches the register to the bank statement until the Difference is $0.00. That is bank versus books. The third number still lives in Buildium, AppFolio, or Rentec PM. There is no native owner statement. Book the management fee as income after it leaves trust.

Keystone Property Accounting, writing on 2026-06-15, said QuickBooks Online cannot run trust on its own, and that a PM firm on QBO alone past about 30 units becomes a spreadsheet exercise.

QuickBooks wins because the CPA already lives there and the monthly price is printed. It stops at owner money.

What most small PM firms actually run

A 50-to-300-door office already paid for the trust books if it is on Buildium, AppFolio, or Rentec PM. Close the month there. Send owner statements from those ledgers. Keep QuickBooks for payroll, operating costs, and tax. The bridge is the management-fee transfer.

Office Stack Why
50-to-300 doors, CPA in QuickBooks PM tool for owners. QuickBooks for the firm. Rec in the PM tool. Fee in QuickBooks.
Under 50 doors, holding owner money Buildium or Rentec PM AppFolio’s 50-unit gate is on the card.
Self-managing landlord, no owner money in trust Rentec Pro or QuickBooks Online Trust and the owner portal are PM-only on Rentec.
Rec already closes in the tool you run Stay. Export into QuickBooks. Switching PM platforms is the expensive move.

On r/Bookkeeping in July 2024, an office on a PM platform and QuickBooks wrote that they entered invoices and rent twice. Dual full books is the failure mode. QuickBooks income far above the management fee is the tell: rent posted as sales.

Some offices keep that stack and hire the month-end packet from the exports they already run. We make Propfina, which does this, so weigh that suggestion accordingly.

Rules vary by state. Colorado expects monthly three-way recs for property-management trust accounts, per the Division of Real Estate’s audit process, read 2026-11-03. This is not legal advice. Check your own state’s commission and your CPA.

How to tell this week

The stack is doing its job when last month’s adjusted bank, trust ledger, and the sum of owner and tenant ledgers agree to the cent, no owner ledger is negative, and the CPA’s QuickBooks file shows the management fee. You still need QuickBooks when payroll runs there or the CPA will only open that file. You are on the wrong Rentec plan when you hold owner money and the invoice says Starter or Pro.

Open last month’s trust-account bank statement, the general ledger and owner-ledger exports from the PM tool you already run, and the operating P&L if you already keep QuickBooks. Price the four on the same door count. Start with those files. They already show which job is still done by hand.

Frequently asked questions

Can a small property manager run the books on QuickBooks Online alone?

QuickBooks Online recs the bank to its register. Owner ledgers and tenant deposits live in the PM software. A firm that holds owner money in trust still needs Buildium, AppFolio, or Rentec PM for that third number. Most 50-to-300-door offices keep QuickBooks for payroll and tax beside the PM file.

Does Rentec Direct include trust accounting on every plan?

No. Rentec's pricing table, read 2026-11-03, puts Trust Account Management and Reporting, the owner portal, and pay-owners ACH on Rentec PM only. Starter and Pro skip those lines. A managing firm that holds owner money needs PM. Pro still has property and tenant accounting, bank sync, and the QuickBooks CSV.

How much does AppFolio cost next to Buildium for a 50-door office?

AppFolio Core starts at $1.49 per unit per month with a 50-unit minimum and a minimum spend, read 2026-11-03. Multiplying 50 by $1.49 is not the invoice. Buildium Essential starts at $65 a month with no 50-unit floor on the cards. Price both quotes on the same door count, including bank-setup and payment fees.

Do I still need QuickBooks if I already use Buildium or Rentec Direct?

For owner money, the rec and owner statements already live in Buildium or on Rentec PM. Keep QuickBooks when payroll, office bills, and the tax return sit in a file the CPA already opens. Rentec Pro and PM export Account Ledger B as a CSV to import. Buildium has no native QuickBooks button on the pricing cards.

Does AppFolio's 50-unit minimum still apply in 2026?

Yes. Core's card, read 2026-11-03, still prints a 50-unit minimum and a minimum spend. On r/PptyMgmtSoftware in May 2026, a write-up of the demos said the floor is real and they do not bend. Offices under 50 doors price Buildium or Rentec PM, or wait until the book clears 50.
