How to speed up monthly owner statements for a small property management company?

You speed up monthly owner statements by closing the three-way trust rec first, then sending the canned statement from AppFolio, Rentvine or Buildium from those same ledgers. Custom Excel packets for a few owners are what stretch a small office into a weekend.

This is the month-end path for an office of about 50 to 300 doors on AppFolio, Rentvine or Buildium, often with a few short-term listings and QuickBooks Online on the side. Pull last month’s signed rec, the owner-ledger export, and the canned statement.

What actually slows the packet

The PDF is not the slow part. The wait is an open rec, bills posted after the cutoff, and a second set of numbers in Excel.

On r/PptyMgmtSoftware in February 2026, an office of about 45 doors and 12 owners wrote that the canned AppFolio statement was fine for maybe 3 of those owners, and that the rest ate a full weekend, 12-plus hours, in Excel.

Close the rec first

If the bank, the trust ledger, and the sum of owner and tenant ledgers disagree, the statement is someone else’s money with a name on it. How to do a three-way trust account reconciliation is that packet. How to do month-end close is the order around it.

Pick the bank-statement date first. Run every report to that date. The usual miss is a statement through the 30th and an owner-ledger export generated on the 2nd.

AppFolio (June 16, 2026) calls this a Triple Tie Out of owners, banks, and the general ledger, and says to rec it monthly, 100 percent of the time. Rentvine (read 2026-10-10) writes month-end as rec the trust, post fees, then bulk-pay vendors and owners.

Do not send a draw while that owner’s ledger is negative. Cash in the trust account can still belong to other owners and tenants. Colorado’s Division of Real Estate lists negative ledger balances among common violations (audit process, read 2026-10-10). Rules vary by state. This is not legal advice. Send the canned statement

AppFolio, Rentvine and Buildium win this job. They keep owner and tenant ledgers in the same system as the bank rec. On their own books, the statement is a report, not a rebuild.

AppFolio Core, still called Basic in a lot of offices, has no API. It still has owner statements and an owner portal (read 2026-10-10). Owners download packets from the Statements tab. If you turn on Reports, they can run cash flow, rent roll and a balance sheet themselves. Neil Cadman of Cadman Group, on AppFolio’s March 28, 2023 Top Floor episode, said they set those monthly reports on the portal at onboarding so the packet is automatic.

Rentvine (read 2026-10-10) ships custom statements whose summary looks like a bank statement, and you can bundle extra reports in the packet. A July 22, 2026 post says those statements pull from the same trust engine as the 3-way rec, and a posted payment shows in the owner portal without a monthly export.

Buildium (May 12, 2026) says to schedule owner statements on a fixed date after close, by email, the owner portal, or both. Growth and Premium include Reporting Automation.

If QuickBooks is the only ledger, how to create owner statements in QuickBooks is the rebuild. Do not retype the PM-software statement into QuickBooks. Post the management fee. Leave the owner packet in the ledgers.

Cadman’s givens on that episode were five reports, not a custom workbook. A one-page P&L, photos on every work order, or comps every month is owner service, not the statement. Push it to the portal, price it, or stop doing it. Extra tabs are a second set of numbers.

A bill that misses the cutoff goes on next month’s statement. Backdating it after the rec closed is how last month’s ending does not match this month’s beginning. On r/PropertyManagement in September 2025, one office heading into a real-estate-commission audit wrote that the trust account had never reconciled to the bank, and several properties showed negative balances they could not verify. Totals that look close are not a statement.

What the software already does

AppFolio, Rentvine and Buildium win native owner statements. QuickBooks Online wins the two-way rec and the CPA file.

Someone still has to pick the cutoff, refuse a negative draw, and stop rebuilding the packet in Excel.

Rules vary by state. California Commissioner’s Regulation 2831.2 requires a monthly reconciliation of beneficiary records to the control record in months with activity. How to tell this month’s statements are done

The three-way rec is $0.00. No owner ledger is negative. Each packet’s ending balance equals that owner’s ledger as of the statement date. Last month’s ending is this month’s beginning. The canned statement went out, or the portal has the packet. Excel was not a second ledger.

Pull last month’s signed rec, the owner-ledger export as of the bank-statement date, and the canned owner statement from AppFolio, Rentvine or Buildium. Close the rec on those files. Then send the statement that already matches them.
