How often do North Carolina property managers have to reconcile their trust accounts?

By the Propfina team · Published · Updated

North Carolina property managers who hold rent or deposits in a trust account must reconcile that account every month. Rule 21 NCAC 58A .0117(e) requires a trial balance of owner or property ledgers, a reconciled bank statement, and the journal, all as of one cutoff, with a worksheet showing those three numbers agree.

This is the month-end job for a small property-management office on AppFolio, Rentvine or Buildium, often with QuickBooks Online on the side, that already has last month’s trust-account bank statement and the owner and tenant ledger exports. This is not legal advice. Check the current North Carolina Real Estate Commission rules and your CPA or counsel.

What monthly means

The Commission writes the rec as three numbers on one cutoff date the broker picks.

Number What it is What it proves
Adjusted bank balance Statement ending balance, minus outstanding checks, plus deposits in transit The cash is at the bank
Journal balance Running total of every receipt and disbursement, from the journal, check register, or check stubs The books match that cash
Trial balance A list of every property or owner ledger, each balance, and the total of those balances The cash is allocated to the right people

If those three disagree, the broker investigates until they agree and keeps the worksheet. 21 NCAC 58A .0117(e) is the rule. NCREC’s trust-account tutorials walk the same three records. An NCREC auditor’s February 2017 bulletin writes them as the bank statement, the books, and the property trial balance.

What is a three-way reconciliation is the definition. How to do a three-way trust account reconciliation is the packet.

NCREC’s own rental-trust tutorial uses this shape. The amounts are the Commission’s illustration.

Item Amount
Bank statement ending balance $3,185.00
Plus deposits in transit $2,500.00
Minus outstanding checks ($1,465.00)
Reconciled bank balance $4,220.00

The journal on that cutoff is $4,220.00. The trial balance of the property ledgers is $4,220.00. Those three match before the rec is done. A deposit in transit is a valid reconciling item. Leave it out of owner draws until it clears.

Security deposits may sit on a separate tenant-deposit ledger for each property or owner. Those balances still have to land in the trial balance, or on their own rec if you keep deposits in a second trust bank. Why doesn’t my trust account bank balance match the owner ledgers is the diagnostic when those two lists disagree.

The packet you keep

Keep, for each month, a worksheet that shows the journal or check-stub balance, the trial balance, and the reconciled bank statement balance in agreement as of the cutoff. File it with the statement, the outstanding-check list, and the ledgers. Rule .0108 keeps trust records for three years after the funds are disbursed or the transaction concludes, whichever is later. The Commission can inspect them without notice.

Deposit rent and other trust money within three banking days of receipt (21 NCAC 58A .0116(a)). Do not disburse more than that client’s balance in the account (.0116(f)). Company money in the trust account is capped at $100 to cover bank service charges, on its own ledger, unless those charges run higher than $100 in a month (.0117(c)(4)(C)).

When the statement arrives

The rule says monthly. It does not name a number of days after the statement. Use the statement ending date as the cutoff, and run every report to that date. The usual miss is a statement through the 30th and an owner-ledger export generated on the 2nd.

NCREC’s new-BIC checklist notes the company may not receive the statement until several days into the next month. The 2017 auditor bulletin calls finishing within 48 hours of receiving the statement a best practice, because there are fewer reconciling items. That 48-hour window is guidance, not a day-count in the rule.

On r/appfolio in July 2026, a mid-year write-up treated a rec that is a month or two behind as common, and said a small difference is easy to explain when the rec is current and much harder once later months bury it.

Do not send owner draws, and do not send owner statements, until the three numbers agree and no owner ledger is negative. A negative owner ledger with cash still in the account means that owner’s bills were paid with someone else’s rent.

Who runs it, and who still owns it

A bookkeeper can tick the outstanding items and build the worksheet. The broker-in-charge still maintains the trust account and the records (21 NCAC 58A .0110(g)(4)). NCREC’s License Law and Rules Comments (January 2026) say the BIC may transfer management of a trust account to a bookkeeper or other employee, and remains responsible for the care and custody of the funds. NCREC’s February 2025 bulletin repeats that the BIC owns the account after hiring an accountant or bookkeeper.

Have the bank statement delivered to the BIC first, then to the bookkeeper. An NCREC auditor’s 2008 bulletin puts that control in place to catch unfamiliar transfers and stale deposits-in-transit.

A designated BIC must complete the Commission’s Basic Trust Account Procedures Course within 120 days of assuming responsibility for a trust account, and not more than once in three years (.0110(g)(9)). For the 2020-2021 license year, NCREC wrote that trust-account mishandling was almost 20 percent of disciplinary actions.

Vacation rentals and HOAs

Vacation-rental managers who keep a subsidiary ledger for each property or owner reconcile those subsidiary ledgers to the corresponding property or owner ledger every month (.0117(f)). That is a fourth step on top of the three-way rec.

Association funds a broker controls are trust money. Each association needs its own dedicated trust account (21 NCAC 58A .0118). The monthly rec still applies. The broker also sends the association a periodic statement at least every 90 days. An unpaid volunteer officer of their own HOA is exempt from .0116 and .0117.

What the software already does

AppFolio, Rentvine and Buildium win the built-in trust rec. They keep owner and tenant ledgers in the same system as the bank rec. On their own books, that rec works. QuickBooks Online wins the two-way rec your CPA already knows.

Job AppFolio, Rentvine or Buildium QuickBooks Online
Two-way bank rec Yes Yes, native, until Difference is $0.00
Sum of owner and tenant ledgers Yes, that is the product No. Bank vs register only
Monthly worksheet of all three The in-app rec, if you run it You still export and add the ledgers
Negative owner ledger Visible on the owner balance report No floor on a class

AppFolio (June 16, 2026) calls this a Triple Tie Out of owners, banks, and the general ledger, monthly, 100 percent of the time. Rentvine (read 2026-11-03) describes a 3-way tie of bank statement, trust ledger, and property ledgers. Buildium (December 8, 2025) writes the same three totals.

Intuit’s QuickBooks Online reconcile help (updated 2026-08-05) is the two-way job: match the register to the statement until the Difference is $0.00. How to reconcile a property management trust account in QuickBooks Online is that click path. Finish it, then still add the owner and tenant ledgers.

Someone still has to pick the cutoff, refuse a negative draw, and file the worksheet. Saving a rec that is $40 off because it will catch up is how last year’s gap is still this year’s gap.

What the Commission has dinged

Firm or broker What NCREC found Outcome
Tiara Nicole Cox and Huey Real Estate, Graham Did not rec monthly, no separate property ledgers, no general journal Nine-month suspensions, stayed, effective November 30, 2024 (December 2024 bulletin)
Cognitive Realty LLC, Cary Incomplete trust recs, rent deposited to operating Twelve-month suspension, effective March 1, 2026 (April 2026 bulletin)
Kirkpatrick Realty Vacation Rentals LLC, Robbinsville No monthly recs, trial balances, ledgers, or journals. BIC skipped the trust-account course Firm and BIC licenses permanently revoked, effective April 20, 2026 (June 2026 bulletin)

Other states

Rules vary. Colorado expects monthly three-way recs and publishes worksheets. California Commissioner’s Regulation 2831.2 requires a monthly reconciliation of beneficiary records to the control record in months with activity. Texas requires a monthly accounting when the account had activity. Check your own state’s commission and your CPA.

Pull last month’s trust-account bank statement, the owner-ledger trial balance, and the journal or check register. Compare those three totals on the statement date. File the worksheet with the packet. Those files already exist.

Frequently asked questions

Does a two-way bank rec satisfy North Carolina's monthly trust rec?

A two-way rec matches the bank statement to the journal or check register. North Carolina also requires a trial balance of every owner or property ledger as of the same cutoff, and a worksheet showing those three numbers agree. QuickBooks Online's native rec is two-way. The third number is the ledgers.

Can the broker-in-charge have a bookkeeper run the monthly rec?

Yes. NCREC's License Law and Rules Comments say a BIC may hand day-to-day trust-account work to a bookkeeper or other employee. Rule .0110(g)(4) still puts the account on the BIC. NCREC's February 2025 bulletin repeats that the BIC owns the account after hiring an accountant. Have the bank statement delivered to the BIC first.

Is there a deadline after the bank statement arrives?

The rule says monthly, as of a cutoff the broker picks. It does not name a number of days after the statement. An NCREC auditor's 2017 bulletin calls finishing within 48 hours of receiving the statement a best practice, not a Commission requirement. Use the statement ending date as the cutoff so timing differences stay small.

Do HOA trust accounts follow the same monthly rec?

Yes. Association funds a broker controls are trust money under Rules .0116 and .0117, so the monthly rec still applies. Each association needs its own dedicated trust account. The broker also sends the association a periodic statement at least every 90 days. Unpaid volunteer officers of their own HOA are exempt from those two rules.
