What are best practices for owner distribution reports at a small property management company?

By the Propfina team · Published · Updated

Best practices for owner distribution reports at a small property-management company are to close the three-way trust rec, take the management fee, hold any negative owner, then pay the draw and send the canned statement from those same ledgers. The report and the payout are one packet.

This is month-end for an office of about 50 to 300 doors on AppFolio, Rentvine or Buildium, often with QuickBooks Online on the side. Pull last month’s signed rec, the owner-ledger export as of the bank-statement date, and the Pay Owners or owner-draw preview.

What the report is

An owner distribution report is a named cash ledger for one owner, for one cutoff: beginning owner funds, cash in, cash out, the management fee, any reserve held, the draw, and ending owner funds. The draw is cash that already sat on that owner’s ledger. NARPM’s Code of Ethics, Article 6-1 asks for accurate, timely reports of the client’s rental and funds.

Piece What it shows
Beginning owner funds What you still held on day one, equal to last month’s ending
Cash in Rent batches and other receipts, posted and tied to the bank lump
Cash out Vendor bills paid from that owner’s funds, invoice attached
Management fee What the firm earned on that owner, already left trust
Reserve held Amount the agreement says to keep, as a running balance
Owner draw Cash sent this cycle from that owner’s available balance
Ending owner funds What you still hold after the draw, equal to that owner’s ledger on the rec

Example for one owner, not a real office. Beginning $4,200, rent $3,700, bills $650, fee $370, reserve $200, draw $2,680, ending $4,000. The three-way rec closes first.

Run it in this order

Pick the bank-statement date first. Run every report to that date. The usual miss is a statement through the 30th and an owner-ledger export generated on the 2nd.

Step Done when
1. Post deposits and payouts Every rent batch and payout equals the bank lump
2. Bank rec, then three-way rec Adjusted bank, trust ledger, and sum of ledgers agree
3. Pay management fees Fees left trust
4. Move cash across an owner’s doors No door for that owner is negative if you net them
5. Hold negative owners and prepaid rent No draw from a negative ledger or unearned rent
6. Pay owners Draw equals available cash after fees and holds
7. Generate the statement Ending equals the ledger, and the draw line matches the payment

AppFolio (June 16, 2026) calls the rec a Triple Tie Out, monthly, 100 percent of the time. Rentvine (read 2026-11-03) writes month-end as rec the trust, post fees, bulk-pay vendors, then bulk-distribute. Buildium’s December 10, 2025 distributions guide starts the same way. On r/appfolio in September 2026, leftover Pay Owners cash was uncollected company fees, so run Pay Management Fees first. APM Help’s December 13, 2022 note on accurate owner distributions is bills and fees first, then the draw. Rentvine’s December 29, 2025 owner-statement note says pay owners, then create statements so the packet shows the draw that left trust.

What goes in the packet

Set one packet. Use it for every owner unless they pay for extra work.

In the packet Leave it out
Owner statement from the rec cutoff, with the draw line A second Excel P&L
Last month’s ending as this month’s beginning Last month’s PDF with new dates typed over
Invoices already attached to bills in the software Maintenance photos on every line
Reserve balance and the amount withheld this month Monthly comps you pull by hand

Rentvine’s owner-statement page (read 2026-11-03) wants the summary to look like a bank statement: beginning, income, expenses, the distribution, and reserves held. AppFolio’s owner portal (read 2026-11-03) is where owners download the packet. Buildium (May 12, 2026) can email the statement, post it to the portal, or both after close. On r/PropertyManagement in February 2026, one office wrote that custom Excel owner reports ate a full weekend, 12-plus hours. How to speed up monthly owner statements is that cut. If QuickBooks is the only ledger, how to create owner statements in QuickBooks is the rebuild.

Negative owners, property-based payouts, and available cash

Do not send a draw while that owner’s ledger is negative. Cash in the trust account can still belong to other owners and tenants. Buildium’s January 11, 2026 checklist says a negative owner ledger before a draw means you are using other owners’ funds. Colorado’s Division of Real Estate lists negative ledger balances among common violations (audit process, read 2026-11-03).

AppFolio, Rentvine and Buildium show the negative. The click to pay is still yours. On r/appfolio in June 2026, AppFolio did not block a negative owner ledger: a repair bill paid before that owner’s rent posts borrows from the trust-account float. APM Help on May 7, 2026 said not to distribute more than Adjusted Cash Balance, trust cash after uncleared checks, uncleared ACH batches, and unreconciled deposits. AppFolio pays at the property. On r/appfolio in March 2026, Pay Owners left one door negative unless you Transfer Owner Funds. Run the Trust Account Balance report grouped by owner, then transfer. AppFolio’s October 30, 2026 product update describes Portfolio Distributions, where positive properties cover negative ones.

Hold prepaid rent until it is earned. On r/appfolio in August 2025, Pay Owners tried to withhold a September prepayment from an August draw. Rentvine (read 2026-11-03) holds prepayments until the due date. Put the reserve, the hold, and the netting rule in the management agreement. Rules vary by state. California Commissioner’s Regulation 2831.2 requires a monthly reconciliation of beneficiary records to the control record in months with activity. This is not legal advice. Check your own state’s commission and your CPA.

What the software already does

AppFolio, Rentvine and Buildium win native owner statements and owner draws. They keep owner and tenant ledgers in the same system as the bank rec. QuickBooks Online wins the two-way rec and the CPA file. Peter Lohmann wrote the split on X on 2026-10-08: trust accounting lives in AppFolio, Rentvine, or Buildium. Corporate accounting lives in QuickBooks or Xero.

Job AppFolio, Rentvine or Buildium QuickBooks Online
Statement from the rec ledgers Yes, that is the product Rebuild from owner funds
Owner draw from available cash Pay Owners or owner draw No native owner draw
Negative owner before a draw Visible. The click is yours No floor on a class

When the report still disagrees

Work rec-to-ledgers first, then ledger-to-statement, then statement-to-payment.

Symptom Likely cause What to do
Draw went out, rec still open Paid from uncleared rent Stop further draws. Finish the three-way
Ending balance does not match last month A backdated bill, or the wrong start date Re-run both months to the rec cutoff
Owner paid from a profitable door while another is negative Property-level Pay Owners, no transfer Transfer Owner Funds, then pay the net
Pay Owners is higher than the owner expects Management fees still sitting in cash Pay Management Fees, then re-run Pay Owners
August draw withheld September rent Prepaid rent counted as a hold Hold the prepayment. Pay earned cash only

On r/appfolio in July 2026, a mid-year write-up said a negative owner balance is the line an auditor circles first, even when the trust account still has cash. The IRS 1099-MISC instructions (read 2026-11-03) say the property manager must use Form 1099-MISC to report the rent paid over to the property owner. For 2026 the threshold is $2,000. Gross versus net is a CPA question. This is not tax advice.

How to tell this month’s distributions are done

The three-way rec is $0.00. No owner ledger is negative. Management fees left trust. Prepaid rent was held. Each packet’s ending equals that owner’s ledger. The draw line matches the payment that left trust.

Pull last month’s signed rec, the owner-ledger export as of the bank-statement date, the Trust Account Balance or owner-draw preview, and the canned owner statement from AppFolio, Rentvine or Buildium. Close the rec on those files. Take the fee. Then send the draw and the statement that already match them.

Frequently asked questions

Can I send an owner distribution before the three-way rec is closed?

No. If the bank, the trust ledger, and the sum of owner and tenant ledgers disagree, the draw is someone else's money with a name on it. Close the three-way rec, hold any negative owner, take the management fee, then pay and send the statement from those ledgers.

Does AppFolio stop me from paying an owner whose ledger is negative?

No. A June 2026 write-up of AppFolio Pay Owners on r/appfolio said the software does not block a negative owner ledger. A repair bill paid before that owner's rent posts borrows from the trust-account float. Hold that owner's draw until the ledger is whole. Check your state's commission and your CPA.

Should I pay owners before I generate the distribution report?

Pay the draw first, then generate the statement so the packet shows the distribution that actually left trust. Rentvine's December 29, 2025 owner-statement note recommends that order. Buildium's December 10, 2025 distributions guide says to batch the statements right after the payouts. Take the management fee before either.

Do I issue a 1099 to owners for their monthly draw?

The IRS 1099-MISC instructions, read 2026-11-03, say a property manager must use Form 1099-MISC to report the rent paid over to the property owner. For payments in 2026 the threshold is $2,000. Gross versus net, and which owners, is a CPA question. This is not tax advice.
