How to do bookkeeping for mixed long-term and short-term rentals in one trust account?
By the Propfina team · Published · Updated
Book mixed long-term rent and short-term payouts in one pooled trust account. Post every bank line to an owner, tenant, or tax ledger, sweep the firm’s fees on the state’s clock, and three-way rec the same cutoff. Split each Airbnb or Vrbo lump on the deposit.
This is the monthly job for a small office of about 50 to 300 long-term doors on AppFolio, Rentvine or Buildium, with a few Airbnb or Guesty listings paying into the same trust bank.
The monthly mixed-book cycle
One bank. Many ledgers. Cash in the pooled account belongs to whoever the ledger names.
- Deposit the long-term rent batch and every AIRBNB or VRBO lump into the same trust bank, on the state’s deposit clock.
- Post the rent batch by door. Each door raises that owner’s ledger. The batch total equals the bank lump.
- Split each channel payout on one deposit: accommodation to the listing’s owner, cleaning per the management agreement, host fee as a negative, occupancy tax paid out to you as tax payable. Skip tax the channel already remitted.
- Post a long-term security deposit to security deposits held. How to account for security deposits in a trust account is that liability.
- Pay vendor bills only from that owner’s ledger. Hold a draw that would take the ledger negative.
- Sweep earned management fees and firm cleaning to operating on the state’s clock, in one transfer.
- Three-way rec the same cutoff. Stop owner draws until the three numbers agree to the cent. Then build owner statements from those ledgers.
What can sit in the same trust bank
A pooled trust account holds other people’s money. Long-term rent and short-term owner proceeds are both owner funds. Occupancy tax, guest deposits, and the firm’s earned cleaning or management fee are not.
| Money that hits the trust bank | Whose money | Ledger |
|---|---|---|
| Long-term rent batch | The owner | Owner funds |
| Long-term security deposit | The tenant | Security deposits held |
| Short-term accommodation, net of channel fee | The owner | Owner funds |
| Guest-paid cleaning | The owner, or the firm | Owner funds, or sweep to operating |
| Occupancy tax paid out to you | The tax authority | Occupancy-tax payable |
| Occupancy tax the channel already remitted | Nobody here | Skip it. It never hit the bank |
| Host service fee | Never cash in this account | Negative line on the payout split |
| Earned management fee still sitting in trust | The firm | Sweep to operating on the state’s clock |
Texas treats rent, security deposits, and any money held for another person as trust money, and a broker may keep different types in one account (22 Tex. Admin. Code § 535.146, read 2026-11-02). Oregon’s Real Estate Agency (June 2024, read 2026-11-02) still wants tenant security deposits in their own clients’ trust account, and lets one owner account cover multiple owners. Mixing owner funds with operating cash is the violation. This is not legal advice. Check yours.
| State | Pool LTR and STR owner funds | Deposit clock | Firm money out | Rec |
|---|---|---|---|---|
| Texas | Yes. Types of trust money may share one account | Close of the second working day | 30 days after the broker owns it | Monthly accounting if the account had activity. Keep records 4 years |
| California | Yes, if each beneficiary has a separate record | Three business days | 25 days when broker and owner funds landed together | Monthly: beneficiary records to the control record |
| Oregon | Yes for owner funds. Tenant security deposits sit in their own account | Fifth banking day for funds a property manager receives | At least monthly unless the PMA sets another cadence | Monthly three-way, signed within 30 days of the statement |
California’s deposit clock is 10 CCR § 2832 (read 2026-11-02). The 25-day fee sweep is Regulation 2835. Oregon’s fifth-banking-day deposit is OAR 863-025-0065 (read 2026-11-02). The NARPM Trust Chart of Accounts (read 2026-11-02) uses one operating trust bank for owner payables.
Split every channel payout before you post it
The rent batch is usually gross cash for named doors. The Airbnb or Vrbo line is one lump covering several reservations, already net of the host service fee.
Airbnb’s payout help, read 2026-11-02, writes the formula as nightly rate plus extra charges minus the host service fee and any co-host share. Hosts on property-management software sit on the single-fee structure. Most of those hosts pay 15.5 percent, taken from the payout. Airbnb’s tax-collection help, read 2026-11-02, says remittance does not change the host payout.
How to reconcile Airbnb payouts in QuickBooks Online is the split if those listings land in QuickBooks. Guesty, read 2026-11-02, can take 72 hours to show a payout, and a co-host split leaves Guesty seeing only the host share. Use Airbnb’s Paid CSV when Guesty and the bank disagree. APM Help (December 13, 2022, read 2026-11-02) says record a vacation-rental payout in AppFolio only when the cash hits the trust account.
Example, not a real office. One day the trust bank shows an ACH rent batch of $8,400 and an AIRBNB lump of $802.75. The CSV is accommodation $800, cleaning $150 the firm keeps, host service fee -$147.25, occupancy tax remitted so it is not in the payout. After the split, owner funds rose $9,200 and the firm is owed $150 of cleaning. Booking the $802.75 as rent parks firm cleaning in an owner’s ledger.
Close the month on one cutoff
Pick the trust-account statement date first. Run every report to that date. The usual miss on a mixed book is a long-term ledger export on the 2nd and an Airbnb Paid CSV filtered to check-in dates.
| Balance | What it is on a mixed book |
|---|---|
| Adjusted bank | Statement ending balance, plus deposits in transit, including a channel payout recorded but not yet credited, minus outstanding owner-draw checks |
| Trust ledger | Every receipt and disbursement in the PM software, long-term and short-term |
| Sum of sub-ledgers | Every owner ledger, every tenant or guest deposit ledger, occupancy-tax payable, and any earned firm fee still sitting in trust |
How to do a three-way trust account reconciliation is that packet. AppFolio (June 16, 2026) calls it a Triple Tie Out of owners, banks, and the general ledger. Rentvine (read 2026-11-02) describes a 3-way tie of bank statement, trust ledger, and property ledgers.
Hold that owner’s draw until the ledger is whole. Cash in the mixed account can still belong to other long-term owners, short-term owners, tenants, or a tax authority. Buildium’s January 11, 2026 checklist says a negative owner ledger before a draw means you are using other owners’ funds. Colorado’s Division of Real Estate lists negative ledger balances among common violations (audit process, read 2026-11-02).
When the lists still disagree
| Symptom | Likely cause | What to do |
|---|---|---|
| Trust bank higher than the ledgers | Unapplied Airbnb lump, or cleaning never allocated | Split the payout. Find cash sitting in undeposited or unapplied |
| Ledgers higher than the bank | Gross booked, net deposited | Put the host fee on the same deposit as a negative |
| One STR owner is short, LTR owners tie | Several listings in one AIRBNB lump | Re-split by listing from the Paid CSV |
| Occupancy-tax payable is zero, CSV shows tax paid out | Tax booked as rent | Move it to the tax liability |
| Firm cleaning is on an owner statement | Cleaning posted to owner funds | Reclass, then sweep to operating |
| All three match, one owner is negative | Bills paid before rent or a stay posted | Hold that owner’s draw; fix the allocation |
On r/appfolio in June 2026, a write-up of owner distributions said AppFolio does not block a negative owner ledger: a repair bill paid before that owner’s rent posts borrows from the trust-account float.
What the software already does
AppFolio, Rentvine and Buildium win owner ledgers, the three-way rec, and long-term owner statements. They do not split an Airbnb lump for you. Airbnb wins the Paid CSV. Guesty wins reservation-level payout status. QuickBooks Online wins the two-way rec and the company file most CPAs already open.
| Job | AppFolio, Rentvine or Buildium | Airbnb or Guesty | QuickBooks Online |
|---|---|---|---|
| Owner and tenant ledgers on long-term doors | Yes, that is the product | No | A class is not an owner ledger |
| Split a channel payout into rent, cleaning, fee, tax | No | The report already knows | Yes, one Bank Deposit, then Match |
| Three-way trust rec | Yes, in the PM software | No | No. Bank vs register only |
| Occupancy-tax payable | Only if you built the account | Tax withheld is on the CSV | Yes, as a liability |
California Regulation 2831.2 requires a monthly reconciliation of beneficiary records to the control record in months with activity. Texas requires a monthly accounting of trust money when the account had activity. California’s DRE (August 26, 2025 advisory, read 2026-11-02) lists failing to reconcile as a top enforcement finding. This is not legal advice. Check your own state’s commission and your CPA.
How to tell this month is closed
Adjusted bank, trust ledger, and the sum of owner, tenant, guest-deposit, and occupancy-tax ledgers agree to the cent. No owner ledger is negative. Every AIRBNB or VRBO bank line is split. Firm cleaning and management fees left trust. Owner statements were built from those ledgers.
Take last month’s trust-account bank statement, the rent-deposit batch report, the Airbnb or Guesty payout file, and the owner and tenant ledger exports cut to that same date. Name every lump on those files before you rec.
Frequently asked questions
Can long-term rent and Airbnb payouts share one trust bank?
In many states, yes, if every dollar sits on an owner, tenant, or tax ledger and no owner goes negative. Texas lets a broker keep different types of trust money in one account. Oregon still wants tenant security deposits in their own clients' trust account. Mixing owner funds with operating cash is the violation. Check your commission and your CPA.
Is occupancy tax on a short-term stay owner funds?
No. Occupancy tax is money held for a tax authority, or already sent there. Airbnb's tax-collection help, read 2026-11-02, says remittance does not change the host payout. Tax Airbnb already remitted never hits the bank. Tax paid out to you sits as occupancy-tax payable, not as rent. This is not tax advice. Check the listing, the agency, and your CPA.
Should I book an Airbnb payout as a rent receipt in AppFolio?
No. The bank line is net of the host service fee and may include cleaning the firm keeps and occupancy tax you still owe. APM Help, read 2026-11-02, says record a vacation-rental payout in AppFolio only when the cash hits the trust account, and split the components. Booking the lump as rent leaves the fee, tax, and cleaning with no name.
Do I need a second trust account just for the short-term listings?
Not for mixing long-term and short-term owner funds. NARPM's Trust Chart of Accounts, read 2026-11-02, uses one operating trust bank for owner payables. A second account is for security deposits when your state requires it, and for operating. A second STR trust bank is a choice. Check your state.
When does the firm's cleaning fee or management fee have to leave the mixed trust account?
Once it is the firm's money. California Commissioner's Regulation 2835 gives 25 days after deposit when broker and owner funds landed together. Texas Rule 535.146 gives 30 days after the broker acquires ownership, including compensation. Leave it longer and the trust holds firm cash. Sweep on a fixed cadence. Check your state and your CPA.
